WhatsApp AI chatbot features built for bookings

This page lists every WhatsApp AI chatbot feature in NextReply, what it does in a real conversation and which plan includes it. We kept the list honest: if a capability is not here, the product does not do it yet. NextReply is a WhatsApp AI agent for business owners who take appointments, so nearly every feature serves one goal: getting a customer from "hi" to a confirmed slot without a person typing.

If you would rather see the whole journey first, read how it works. If you already know what you need, jump to the pricing table, which shows the same features plan by plan.

AI front desk with your personality and working hours

The assistant introduces itself with the name and tone you choose. A barber might want short, friendly replies with the odd emoji; a dental practice might want calm, formal language. You set that once and it applies to every chat.

You also set working hours. Outside them the assistant still replies, answers questions and books future slots, but it will not promise that a person will call back tonight. Inside them it can hand a chat to whoever is on shift. Customers get an answer either way, which is the whole point of after-hours replies.

Automatic human handover

The assistant knows when to step back. You choose the triggers: a customer asks for a person, uses words linked to a complaint, raises a medical or legal question, or wants something the assistant has no information about. It then tells the customer a team member will reply, stops answering in that thread and sends you an alert. Your colleague picks up with the whole conversation visible.

When the AI hands a chat to your team
  1. Unusual request: Complaint, refund or special case
  2. AI receptionist: Knows when to step back
  3. Answers from your FAQs: Services, hours and prices / Hands the chat over: Your team is notified
  4. Your team replies: Same chat, full history

Appointment booking inside the chat

Booking is the core job. The WhatsApp AI assistant collects the customer's name, the service, the preferred date and the time. It checks your calendar, offers slots that are actually free and confirms the booking in the same chat. No link to a separate booking page, no app to download, no form to fill in.

A typical exchange takes under a minute: "Hi, can I book a gel manicure tomorrow?" "Of course. Tomorrow I have 11:00, 13:30 or 16:00 with Sara. Which suits you?" "13:30." "Done. Gel manicure with Sara, tomorrow at 13:30. See you then." The full flow, including what happens when a slot fills up mid-chat, is on the WhatsApp appointment booking page.

From first message to confirmed booking
  1. Customer message: “Any slot tomorrow afternoon?”
  2. AI receptionist: Reads service, date and time
  3. Checks your calendar: Offers only free slots
  4. Confirms in the chat: Name, service and time
  5. Booked: In Google Calendar, owner alerted

Google Calendar sync with no double-booking

Every booking lands in Google Calendar on every plan. The assistant reads your live availability before it offers a slot, so two customers cannot grab the same time and an event you added by hand blocks that time automatically. If you run separate calendars per stylist, doctor or technician, the assistant books into the right one.

Learn more on the Google Calendar integration page. NextReply supports Google Calendar only at the moment, so teams on other calendar apps should plan to move bookings to Google first.

A multilingual WhatsApp chatbot that matches the customer

The assistant replies in the language the customer uses. If someone writes in Arabic, it answers in Arabic; if they switch to English halfway through, it follows. You write your knowledge base once, in your own language, and the assistant uses it across languages.

This matters most in mixed cities. A clinic in Dubai, a salon in London or a tutoring center in Kuala Lumpur may hear five languages in a single day. Without a multilingual WhatsApp chatbot, those customers either struggle in a second language or wait for the one staff member who speaks theirs.

Replies in each customer’s language
  1. مرحبا، عندكم موعد؟ / Olá, tem horário? / Hola, ¿hay cita? / Hi, any slots?
  2. Detects the language: From a WhatsApp text or voice note
  3. Replies in that language: You set it up once

WhatsApp chatbot voice notes and photo understanding

In many markets, voice notes are how people use WhatsApp. A busy parent records "Hi, I need to move my son's lesson to Wednesday" while walking. A driver records the clunking noise their car makes. On WhatsApp, the assistant understands voice notes and replies in text, so the customer does not need to type anything.

Photos work the same way. A client sends a picture of the hairstyle they want, a homeowner sends a photo of water under the sink, a patient sends a screenshot of an old appointment card. The assistant uses what it sees to pick the right service or to ask a better follow-up question. It does not diagnose or quote final prices from a photo; it gathers context and books the visit.

Services, knowledge base and team

You control what the assistant knows through three simple areas in the dashboard:

  • Services: names, durations, prices and which team members perform them.
  • Knowledge base: answers to the questions customers ask: parking, payment methods, cancellation policy, what to bring.
  • Team: who works where and when, so bookings go to the right person.

On Pro and Business plans you can edit services, hours and FAQs whenever you like, and review past customer chats to see which answers need work.

Opt-in campaigns and appointment reminders, both coming soon

Booking is not the end of the relationship. Opt-in campaigns are coming soon too: reactivation messages to customers who have not visited in a while, feedback requests after a visit and event announcements. Like reminders, they need Meta's template approval before they go live. Customers will need to have agreed to receive them, and each one will use a WhatsApp message template, which Meta charges per delivered message.

Appointment reminders are coming soon. The feature is built and is waiting on Meta's template approval, so we do not count it as live yet. Until it launches, every booking is confirmed in the chat with the service, date and time. The reduce no-shows guide explains what you can do today and what reminders will add.

Appointment reminders (coming soon)
  1. Appointment booked: Saved to the calendar
  2. Reminder (coming soon): Waiting for Meta approval
  3. Customer confirms / Asks to reschedule
  4. Calendar stays current: Freed slots reopen

Instant owner notifications and a bookings dashboard

Every new booking sends you an instant notification. The bookings dashboard shows the week in a calendar view, so you can see at a glance what the assistant booked overnight. Pro and Business keep full conversation history, which is useful when a customer says "but I was told it cost less" and you want to check exactly what was said.

WhatsApp Coexistence: keep your app

NextReply supports WhatsApp Coexistence, so you keep the WhatsApp Business app on the same number. Your team replies from their phones as before; the AI agent works alongside them. See the Coexistence page for set-up details and the app features Meta switches off on a coexisting number.

WhatsApp Coexistence: the app and the AI on one number
  1. WhatsApp Business app: Keep chatting from your phone
  2. Same number: Nothing to delete
  3. NextReply AI: Answers through the platform

CRM and webhook integrations on the Business plan

On the Business plan, every booking can be sent to your CRM by webhook. You can route bookings through Zapier or Make to HubSpot, Google Sheets, Slack or almost any tool your team uses, and test each webhook from a dedicated dashboard before you rely on it. The Business plan also includes dedicated onboarding.

WhatsApp today; Instagram, Messenger and Telegram coming soon

Everything on this page works on WhatsApp, which is live on every plan. Voice notes, photos and booking currently work on WhatsApp only. Instagram DMs, Facebook Messenger and Telegram are coming soon; the plan is for them to use the same services, prices and knowledge base and book into the same Google Calendar, so you will not maintain separate bots.

Each platform sets its own rules: Instagram and Messenger allow free replies for 24 hours after the customer's last message, and Telegram bots can only answer people who message first. Until those channels launch, a WhatsApp button on your Instagram profile and Facebook Page brings customers to a chat NextReply can book. The channels page shows the status of each one.

WhatsApp live now, Instagram, Messenger and Telegram coming soon
  1. WhatsApp: Live / Instagram: Coming soon / Messenger: Coming soon / Telegram: Coming soon
  2. NextReply AI agent: Live on WhatsApp
  3. Google Calendar: No double bookings / CRM by webhook: Business plan / Your team: Takes over when needed

What NextReply does not do

Being clear about limits saves you time. NextReply is not a shared team inbox for twenty agents, not a bulk broadcast tool for cold lists and not a general chatbot that answers any question on earth. It does not take payments or restaurant orders, and it does not give medical, legal or financial advice. It is a booking and customer-service assistant for your business, with a human behind it. That focus is also what keeps it inside Meta's 2026 rules, which bar general-purpose AI chatbots from WhatsApp but allow business assistants like this one.

Questions people ask

Is there a free trial?

Yes. Every plan starts with a 7-day free trial, so you can test booking, voice notes, photos and handoff on your own WhatsApp number before paying.

Can the WhatsApp AI chatbot understand voice notes?

Yes. Customers can send voice notes and the assistant understands them and replies in text. It works for booking requests, questions and descriptions of a problem.

How many languages does it support?

It replies in the language the customer writes or speaks in, across the major world languages. You write your knowledge base once and it is used for every language.

How does handoff to a human work?

You set rules for when a person should take over. When one triggers, the assistant tells the customer a team member will reply, stops answering in that chat and notifies your team, who see the full history.

Does it prevent double-bookings?

Yes. It checks your live Google Calendar before offering a slot, so taken times and events you added by hand are never offered.

Can I send reminders and promotions?

Not yet. Opt-in campaigns such as reactivation, feedback requests and event announcements, and appointment reminders, are both coming soon; they need Meta's template approval, and Meta charges per delivered template message.

Which features need the Business plan?

CRM delivery by webhook, Zapier, Make, HubSpot and Sheets connections, the webhook testing dashboard and dedicated onboarding are on Business. Google Calendar booking is on every plan.

Does it work on Instagram and Messenger?

Not yet. NextReply works on WhatsApp today. Instagram DMs, Messenger and Telegram are coming soon and are planned to use the same services, FAQs and calendar.
