One evening at a Doha dental clinic, before and after

Before. The clinic in Al Sadd closes at 9pm. Between 9pm and 8am, 23 WhatsApp messages arrive: eight ask for prices, six want a slot this week, four ask about insurance, three send voice notes, and two are follow-up questions after treatment. The receptionist starts the day answering in order. By the time she reaches the voice notes at 10:30, two of the six people who wanted a slot have booked elsewhere.

After. The same 23 messages arrive. The assistant answers the price and insurance questions straight away from the clinic's FAQs, transcribes and answers the voice notes, and books five of the six people who wanted a slot. The sixth wants a specific doctor who is fully booked, so the assistant offers the next free day and flags the chat. The two treatment follow-ups go to the dental team, unanswered by the bot, with an alert waiting for them at 8am.

The receptionist begins the day with a calendar that already holds five new appointments and a short list of three chats that need a human.

A WhatsApp chatbot for Qatar that answers, books and hands over

NextReply is a WhatsApp chatbot for Qatar's clinics, salons, restaurants and property teams. It answers every customer in Arabic or English within seconds, checks your Google Calendar, books a real slot and passes anything sensitive to your staff. It works through the night, at weekends and during Ramadan, without adding a single shift to your rota.

People in Doha arrange most things by message. They book a car service, confirm a table and reschedule a dental check-up without picking up the phone. Patients have grown used to managing appointments over WhatsApp, including with large healthcare providers, and they now expect the same speed from a private clinic in Al Sadd or a salon on The Pearl. NextReply gives smaller businesses that speed.

Arabic speakers can switch to the Arabic Qatar page. This page is for English-speaking owners and managers.

An AI receptionist for Qatar clinics

Clinics feel the gap between message and reply more than anyone. A patient with toothache at 10pm, a parent trying to get a paediatric slot before school, a worker who can only come on Friday afternoon: each sends a WhatsApp and waits. When the reply comes the next day, the slot has gone elsewhere.

NextReply works as an AI receptionist for Qatar clinics. It:

  • Books by specialty and by doctor, using each doctor's own calendar
  • Answers practical questions: location, parking, insurance cards accepted, which doctors speak Arabic, English, Hindi or Malayalam
  • Collects only the details needed for the appointment
  • Never gives medical advice; symptoms, results and urgent cases go to your staff at once, and emergencies are pointed to emergency services

Read the medical clinics page and the dental clinics page for the full handoff rules.

The result is not fewer conversations with people. It is fewer repetitive ones. Your receptionists spend their time with patients at the desk and on the chats that truly need judgement, while the assistant handles the steady flow of "When is Dr. Ahmed in?" and "Do you take my insurance card?"

A greeting that sounds like Doha

Tone matters in Qatar. A cold, robotic reply feels wrong to a customer used to warm hospitality. You choose the assistant's personality, and it greets people the way your best receptionist would:

Customer: السلام عليكم، ابي موعد تنظيف اسنان يوم السبت

NextReply: وعليكم السلام، هلا وغلا! حياك. Saturday we have 10:00 am or 4:30 pm with Dr. Sara. Which suits you better?

It understands Qatari and wider Gulf Arabic, Arabic written in Latin letters, and voice notes. Replies stay polite and clear, and you can tell it to answer in Arabic, English or the customer's own language.

Other Qatar businesses that book on WhatsApp

Restaurants in West Bay, Lusail and Msheireb

Diners message for a table for six at 8:30pm, ask about set menus or whether there is a family section. The assistant books standard tables and passes large parties, private dining and event requests to your manager.

Salons and spas

Salons and spas on The Pearl, in Al Waab and in Al Sadd see late-evening enquiries for blow-dries, nails and treatments before weddings and Eid. NextReply books the right therapist and keeps a written confirmation in the chat.

Real estate and rentals

Lettings teams in Lusail, The Pearl and West Bay get a steady stream of rental enquiries from expats who have just arrived. The assistant asks budget, area, number of bedrooms and move-in date, then books a viewing with an agent.

Gyms, academies and workshops

Trial classes near Aspire Zone, tutoring in Al Rayyan, car servicing in Al Wakrah and the Industrial Area: the same booking pattern applies. See all industries.

From WhatsApp message to calendar entry

  1. A customer writes or sends a voice note.
  2. NextReply identifies the service, day and time window.
  3. It checks the right person's Google Calendar and offers only free times.
  4. It takes the name and any details you require.
  5. It books, confirms in the chat and notifies you.

The appointment booking page covers service lengths, buffers and staff rules. The Google Calendar page explains how double-bookings are prevented when your team also books by phone.

From first message to confirmed booking
  1. Customer message: “Any slot tomorrow afternoon?”
  2. AI receptionist: Reads service, date and time
  3. Checks your calendar: Offers only free slots
  4. Confirms in the chat: Name, service and time
  5. Booked: In Google Calendar, owner alerted

One of the world's most international customer bases

Most of Qatar's residents are expatriates. A Doha business might serve Qatari families, Indian and Nepali workers, Filipino and Egyptian professionals and Western expats in the same week. Hiring receptionists for every language is not realistic, and asking customers to switch to English loses some of them.

NextReply replies in the language each customer uses. You write your services and FAQs once, in English or Arabic, and the assistant answers in Arabic, English, Hindi, Malayalam, Nepali, Tagalog, Urdu or another language as needed. Your staff still see every booking in their own working language.

Replies in each customer’s language
  1. مرحبا، عندكم موعد؟ / Olá, tem horário? / Hola, ¿hay cita? / Hi, any slots?
  2. Detects the language: From a WhatsApp text or voice note
  3. Replies in that language: You set it up once

Weekends, summer evenings and Ramadan

Qatar's weekend is Friday and Saturday. Many clinics and salons open on Saturday and on Friday afternoon after prayers, and evenings stay busy until late, especially in summer when the heat pushes errands after sunset. You set hours per day and add breaks; the assistant only offers slots inside them.

During Ramadan, switch to a Ramadan timetable with an iftar break and late hours. Add closures for Eid and for Qatar National Day on 18 December, and anyone who messages during a closure is booked for your next open day with a clear note about when you reopen.

Keep your WhatsApp Business app

You do not need a new number. NextReply supports WhatsApp Coexistence, Meta's official way to use the WhatsApp Business app and the Business Platform on one number. Your team keeps the app and chat history, and the assistant handles what they do not get to. See the Coexistence page for details.

WhatsApp Coexistence: the app and the AI on one number
  1. WhatsApp Business app: Keep chatting from your phone
  2. Same number: Nothing to delete
  3. NextReply AI: Answers through the platform

What the assistant will not do

Being clear about limits builds trust with customers and with Meta. NextReply does not:

  • Diagnose, give treatment advice or interpret test results
  • Promise discounts or prices that are not in your list
  • Negotiate rent or sale prices for property teams
  • Take card payments or ask for card numbers
  • Chat about topics unrelated to your business

When a conversation drifts into any of these, the assistant tells the customer a team member will reply and alerts you. You can add your own rules on top, for example sending every corporate booking or every complaint straight to the manager.

WhatsApp today; Instagram, Messenger and Telegram coming soon

Restaurants, salons and clinics in Qatar are discovered on Instagram as often as on Google Maps. NextReply runs on WhatsApp today, on every plan, and that is where it reads voice notes and photos and books appointments. Instagram DMs, Facebook Messenger and Telegram are coming soon. When they launch, every channel will share one calendar and one set of answers with WhatsApp.

Until then, put a WhatsApp link in your Instagram bio and on your Facebook Page, so new enquiries reach the assistant that already books. Email hello@nextreply.io to hear when each channel goes live. More on the channels overview.

Qatar's data protection law (PDPPL)

Qatar was the first GCC state to pass a general data protection law: Law No. 13 of 2016 on Personal Data Privacy Protection (PDPPL). It requires businesses to process personal data fairly and for clear purposes, and treats health data as special. NextReply supports those principles:

  • It collects only the details a booking needs
  • It does not ask for QID numbers, card details or medical history in chat
  • Clinical questions go to qualified staff
  • You control which team members can read conversations

This is general information, not legal advice. Clinics should confirm their obligations with their compliance adviser.

Getting started in an afternoon

  1. Connect WhatsApp with Coexistence, keeping your app and number.
  2. Add services with durations, your own prices and who provides each.
  3. Link Google Calendars for each doctor, stylist or agent, and set hours for each day.
  4. Write FAQs: location, parking, insurance, family sections, cancellation policy.
  5. Set handoff rules, test the flow from your own phone and switch it on.

Allowed under Meta's 2026 WhatsApp rules

NextReply answers only from your business information, books appointments and hands over to people, so it stays inside the rules.
