When WhatsApp is your shopfront, every unanswered message is a closed door

A customer who walks into a shop and finds nobody at the counter leaves. The same thing happens on WhatsApp, only more quietly. Messages that arrive while the dentist is with a patient, while the mechanic is under a car or after the spa has closed often get answered hours later, when the customer has already chosen someone else.

NextReply keeps the door open:

  • Replies in seconds, at any hour, in Arabic or English
  • Answers prices, location, hours and services from the information you give it
  • Offers specific free times instead of "please call us"
  • Books the appointment and sends a written confirmation in the chat
  • Notifies you instantly, so you always know what was booked

You can see everything it does on the features page.

A WhatsApp chatbot in Oman that books while you work

NextReply is a WhatsApp chatbot for businesses in Oman that take bookings: dental clinics, spas, salons, car workshops, tour operators and tutors. It replies to every message in Arabic or English within seconds, understands voice notes, offers real free times from your Google Calendar and books the appointment. When a customer needs a person, it hands the chat to your team and alerts you.

Omani business press has called WhatsApp the country's new shopfront, and owners see it every day. Customers find you on Instagram or Google Maps, tap the WhatsApp button and ask a question. For a small team in Muscat or Salalah, keeping up with those messages while serving customers in person is hard. NextReply takes the routine part of that work, so every message gets an answer and fewer bookings slip away.

Polite, Omani-style replies

Omani customers value courtesy. You set the assistant's tone, and it greets people the way a good receptionist in Muscat would:

Customer: السلام عليكم، عندكم موعد مساج يوم الخميس؟

NextReply: وعليكم السلام، حياك الله! كيف نقدر نخدمك؟ Thursday we have 5:00 pm or 7:30 pm for a 60-minute massage. Which would you like?

It understands Omani and Gulf Arabic, Arabic mixed with English and voice notes, and replies in Arabic, English or the customer's language. Many workshops and home-service companies in Oman also serve customers who write in Urdu, Hindi, Malayalam or Bengali; each gets an answer in their own language.

Dental clinics, spas and workshops across Oman

Dental clinics

Dental practices in Al Khuwair, Qurum and Madinat Sultan Qaboos get many WhatsApp questions about cleaning, whitening, braces and children's appointments. The assistant books check-ups by dentist and passes pain, swelling and treatment questions to your staff. More on the dental clinics page.

Medical clinics

Polyclinics in Ruwi, Al Ghubrah and Bawshar book by specialty and doctor. NextReply handles the scheduling and the practical questions, and never gives medical advice. See the medical clinics page.

Spas and hospitality

Spas and wellness centres around Shatti Al Qurum and Al Mouj, and hospitality businesses in Salalah during the khareef season, see sudden peaks of enquiries from visitors who prefer to message. The assistant books treatments and answers questions about packages and opening times.

Car workshops and service centres

Garages in the industrial areas of Muscat, Sohar and Nizwa receive photos of damage, warning lights and tyres. The assistant reads the photo, suggests the right service and books an inspection slot. The same flow works for tutors, cleaners and gyms.

A week at a Sohar car workshop

Take a family-run service centre in Sohar's industrial area with four bays and one person on the front desk. In a normal week it receives around 180 WhatsApp messages. Most are the same: "How much for an oil change on a Land Cruiser?", "Can you check my AC today?", a photo of a dashboard light, a voice note asking whether Saturday is open.

Without help, the desk answers what it can between customers at the counter. Messages that arrive during lunch, after 6pm or on Friday wait. Some of those customers go to the next workshop on the road.

With NextReply, the price questions get instant answers from the workshop's list. Photos are matched to services such as AC inspection or diagnostics. The assistant offers bay slots that fit the job length, books them into the workshop calendar and tells the customer what to bring. Anything that needs a mechanic's judgement, such as a repair estimate, goes to the team with the photo attached. The front desk spends the week on customers in front of them, and the bays stay full.

How a WhatsApp chat becomes an appointment

  1. The customer messages, typed or by voice note.
  2. The assistant identifies the service and the preferred day and time.
  3. It checks the right staff member's Google Calendar and offers free times only.
  4. It collects the name and any details you need.
  5. It books, confirms and notifies you.

See the booking rules on the appointment booking page and how calendars stay in sync on the Google Calendar page.

From first message to confirmed booking
  1. Customer message: “Any slot tomorrow afternoon?”
  2. AI receptionist: Reads service, date and time
  3. Checks your calendar: Offers only free slots
  4. Confirms in the chat: Name, service and time
  5. Booked: In Google Calendar, owner alerted

Fewer empty slots: clear confirmations now, reminders coming soon

Missed appointments hurt small clinics and spas most, because one empty hour can be a large share of the day's income. Many of them start with a booking that was never clear: a time agreed in a hurried call and never written down. NextReply ends every booking with a written confirmation in the WhatsApp chat, with the service, staff member, day and time. If the customer needs to change it, they reply in the same chat and the assistant moves them to another free time, so the old slot returns to the calendar for the next person who asks.

Automatic appointment reminders are coming soon. They are built and waiting for Meta's template approval. When they launch, they will be WhatsApp template messages that Meta bills per message at the rate for the customer's country, and only customers who agree to receive them will get them.

Weekends, khareef and Ramadan

Oman's weekend is Friday and Saturday, and many businesses open on Saturday and on Friday afternoon. You set hours per day, including breaks for prayer or lunch, and the assistant only offers times inside them.

Oman also has strong seasons. Dhofar's khareef brings visitors to Salalah from June to September. Winter is peak season for tourism in Muscat. Ramadan shifts most businesses to late hours with an iftar break, and National Day holidays in November close many offices. Update your hours for each period in minutes; customers who message while you are closed are booked for your next open day.

Keep your number and the WhatsApp Business app

NextReply supports WhatsApp Coexistence, Meta's official way to run the WhatsApp Business app and the Business Platform on one number. You keep your app, your chat history and the number your customers know. Read more on the Coexistence page.

Payments stay with you

Omani customers know local payment options such as OmanNet cards and Thawani links. NextReply books appointments; it does not handle payments. If you take deposits, your team sends the link from your usual system, and the assistant can tell customers when a deposit applies.

WhatsApp today; Instagram, Messenger and Telegram coming soon

Instagram is where many Omani spas, salons and cafés are discovered. NextReply runs on WhatsApp today, on every plan, and that is where it reads voice notes and photos and books appointments. Instagram DMs, Facebook Messenger and Telegram are coming soon. When they launch, they will share one calendar and one set of answers with WhatsApp, so the 6pm slot booked by an Instagram follower in Qurum will disappear from the options offered to a WhatsApp customer a minute later.

Until then, put a WhatsApp link in your Instagram bio and on your Facebook Page so new enquiries reach the assistant that already books. Email hello@nextreply.io to hear when each channel goes live, and see the channels overview for what each one is planned to do.

Oman's Personal Data Protection Law

Oman's Personal Data Protection Law was issued by Royal Decree No. 6/2022 and came into force in February 2023, with executive regulations issued in 2024. The Ministry of Transport, Communications and Information Technology oversees it. It covers consent, purpose and the protection of sensitive data such as health information.

  • The assistant collects only what a booking needs
  • It does not request civil ID numbers, card details or medical history
  • Clinical questions go to your staff
  • Marketing messages go only to customers who opt in

This is general information; check your obligations with a qualified adviser.

Built for Meta's 2026 AI rules

Since 15 January 2026, Meta's WhatsApp Business Solution Terms bar general-purpose AI chatbots. Business assistants for bookings and customer service remain allowed. NextReply answers only from your business information, books appointments and hands over to people.

In practice that means the assistant stays on topic. Ask it about your opening hours, a treatment, a price or a free slot and it answers. Ask it to write a poem or explain the news and it politely brings the conversation back to your services, or hands over to a person. That focus protects your WhatsApp number and keeps conversations short for customers who simply want a time.

Setting up an Omani business, step by step

  1. Connect WhatsApp using Coexistence, so your number and app stay as they are.
  2. List your services with durations and your own prices, written to three decimals if that is how you quote them.
  3. Add your team and link each person's Google Calendar.
  4. Set hours for each day, plus Ramadan, khareef or winter-season timetables if you change hours.
  5. Write FAQs with directions customers recognise: the nearest roundabout, mall or landmark, and parking.
  6. Choose handoff topics, test from your own phone and go live.
