Spas and wellness
Calm, unhurried replies for a calm, fully booked spa
Packages explained, couples rooms matched, vouchers handed to your team. Every reply in your spa's own calm voice.
WhatsApp booking for spas that sounds like your spa
WhatsApp booking for spas has a different rhythm from a busy salon. Guests are not in a rush; they are choosing an experience. They ask what is in the signature package, whether the couples suite has a jacuzzi, if the hot stone massage is safe in pregnancy, and whether a gift voucher can be sent by tonight. Each question deserves a calm, complete answer, and each answer is a chance to book.
NextReply is a spa appointment chatbot that answers those questions in your brand's voice, any time of day, and turns them into confirmed treatments in the right therapist's and room's calendar. It replies in the guest's language, understands voice notes and hands anything sensitive to your team. Your therapists stay in the treatment room. Your front desk stops apologizing for slow replies.
This page covers what a spa or wellness business needs from the assistant: the tone, the packages, couples rooms, vouchers and health questions, with examples you can adapt to your own treatment menu.

A two-minute walkthrough of the real app: connect WhatsApp, set up your receptionist, start the free trial and go live.
What the video shows
- Connect your WhatsApp number through Meta
- Set up your AI receptionist: name, tone, language, opening hours and handover to a person
- Choose a plan ($29, $59 or $99 a month) and start the 7-day free trial, with checkout by Stripe
- You’re live: the AI replies 24/7 and books appointments into your calendar
A calm persona, written by you
Spa guests notice tone. A reply that reads like a ticket number feels wrong after a brochure full of eucalyptus and soft light. You give the assistant a name, a short description of your voice and a few sample phrases. It then writes every reply in that style, whether the guest writes in English, Arabic, French or Russian.
Compare two answers to "Do you have anything relaxing on Sunday?":
Generic bot: Available: 11:00, 14:00. Select one.
Your assistant: Sunday is a lovely day for it. Our 60-minute aromatherapy massage is available at 11:00 or 14:00 with Mei. Would you like to arrive 15 minutes early to use the steam room first?
Same information, very different feeling. The second reply also does a quiet piece of selling, because you wrote that suggestion into the knowledge base.

Packages, add-ons and treatment menus
Spa menus are long. Guests rarely read them on a phone. The assistant does the reading for them: it explains what a package includes, how long it lasts and what it costs, then suggests add-ons you choose, such as a scalp massage or an extra 30 minutes. It books the whole package as one appointment, blocking the right length of time in the right calendar.
| Guest asks | Assistant does |
|---|---|
| "What's in the Desert Ritual?" | Lists the steps and duration from your knowledge base |
| "Is there anything under two hours?" | Suggests shorter packages and offers times |
| "Can I add a facial?" | Extends the booking if the calendar allows |
| "Do you have a membership?" | Explains your membership terms and offers a call with staff |
Couples rooms and two-therapist bookings
Couples treatments are the trickiest booking a spa takes: two therapists free at the same time, plus the couples suite itself. Set the room up as its own calendar alongside your therapists, and the assistant only offers times when everything needed is free. It then confirms both names on the booking. No more "sorry, we have the room but only one therapist" calls the day before an anniversary.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
Gift vouchers and special occasions
Vouchers arrive in waves: before Mother's Day, Valentine's Day, Eid, Christmas and every birthday in between. Most buyers message late at night with a deadline. The assistant explains your voucher options, values and how they are delivered, then hands the purchase to your team with the details already collected: who it is for, the amount or package and when it is needed. NextReply does not take payments itself, so your staff complete the sale in your usual way.
Health questions are for your therapists
Pregnancy, recent surgery, high blood pressure, skin conditions, allergies to oils. Guests ask about all of these, and the answers belong to a trained person. Set them as handoff triggers. The assistant replies kindly that a therapist will confirm what is suitable, pauses in that chat and notifies your team. It can still offer to hold a provisional time if your policy allows, but it never gives health advice.
- Unusual request: Complaint, refund or special case
- AI receptionist: Knows when to step back
- Answers from your FAQs: Services, hours and prices / Hands the chat over: Your team is notified
- Your team replies: Same chat, full history
Late-night guests and hotel spas
Wellness bookings peak in the evening, when people finally have time to think about themselves. Hotel and resort spas see another pattern: guests in the room at 10pm planning tomorrow. Around Palm Jumeirah, Jumeirah Beach Road and Abu Dhabi's Saadiyat Island, day spas and hotel spas field these late messages constantly. With after-hours replies, every one gets a warm answer and a confirmed slot before the guest falls asleep.
Add arrival time and what to bring to each treatment in your knowledge base, and the booking confirmation will include it, which reduces late arrivals that squeeze the next guest. Day-before reminders are coming soon; they are built and waiting on Meta's template approval. See our no-show guide for what helps today.
- Appointment booked: Saved to the calendar
- Reminder (coming soon): Waiting for Meta approval
- Customer confirms / Asks to reschedule

International guests, in their own language
Spas in tourist and expat cities hear from guests in many languages. A resort spa might get Russian, German, Arabic, Hindi and Mandarin messages in one afternoon. The assistant replies in whatever language the guest uses and keeps your calm tone in each. You write the menu and FAQs once, in English or your own language, and the assistant uses them everywhere. Guests who would hesitate to phone in a second language find it much easier to book by message, and they arrive knowing exactly what they booked.
Filling quiet weekday slots
Most spas are full on weekends and quiet on Tuesday mornings. The assistant helps balance that. When a guest asks for Saturday and it is full, it offers the nearest free times, and you can add a line to the knowledge base about any weekday offer you run, so it mentions it naturally. Opt-in WhatsApp campaigns announcing a seasonal ritual or a midweek package to guests who asked for updates are coming soon. They will use Meta message templates, which Meta charges per delivered message, so plan to keep them relevant and occasional.
Seasonal menus change often. On Pro, you edit services and prices yourself, and the next reply uses the new menu.
Spa Instagram DM booking: coming soon
Spas sell on Instagram: a slow video of a candlelit treatment room is a strong advert. The messages that follow ask "price?" and "available this weekend?". NextReply's Instagram AI agent is coming soon; it is not live yet.
Today, add a WhatsApp button to your Instagram profile and a gentle "Book on WhatsApp, any hour" line to your bio. Guests who tap it reach the assistant on WhatsApp, which answers in the same calm voice from the same menu and books the therapist and room. All channels and their status are on the channels page.

Wellness centers, yoga studios and clinics in between
Many wellness businesses sit somewhere between a spa and a clinic: float centers, cryotherapy rooms, yoga and Pilates studios, IV-drip lounges, physiotherapy-led recovery studios. The same approach works. Describe your services and the questions that need a professional, and the assistant books the routine sessions while your practitioners handle anything that sounds medical. Wellness center WhatsApp messages are often about first visits, so a short "what to expect" FAQ answer helps nervous first-timers commit.
Plans for spas
A boutique day spa usually fits Starter. Larger spas with many therapists, rooms and frequently changing seasonal menus often prefer Pro, which lets you edit services and FAQs yourself and review full conversation history. Hotel groups that feed bookings into another system choose Business for webhooks and Zapier or Make. See pricing, every capability on the features page, how booking works on the booking page, other industries or the home page. Plans are $29, $59 or $99 a month in US dollars, the same in every country, and each starts with a 7-day free trial. Local taxes may apply.
Questions people ask
Is there a free trial?
Yes. Every plan starts with a 7-day free trial, so you can shape the assistant's tone and test couples and package bookings on your own number before paying.
Can the spa appointment chatbot book couples treatments?
Yes. Add the couples room as its own calendar alongside your therapists. The assistant only offers times when both therapists and the room are free.
Can it sell gift vouchers?
It explains your voucher options and collects the details, then hands the purchase to your team. NextReply does not take payments, so staff complete the sale.
Will it answer questions about pregnancy or medical conditions?
No. Those go to your therapists through handoff rules. The assistant replies kindly that a professional will confirm what is suitable.
Can massage booking on WhatsApp handle add-ons?
Yes. The assistant suggests the add-ons you list and extends the booking if the calendar has room.
Can the assistant sound calm and on-brand?
Yes. You choose its name, describe your voice and add sample phrases. It keeps that tone in every language.
What if a guest wants to change their treatment?
They can say so in the chat. Your handoff rules decide whether a team member confirms the change, and the original booking details travel with the request so nobody has to ask twice.
Can guests book from Instagram?
Not directly yet; Instagram is coming soon. Add a WhatsApp button to your profile and guests can book with the assistant on WhatsApp today.
