Appointment booking
Bookings that confirm themselves inside the chat
Customers ask in their own words; NextReply checks your calendar, offers real free times and confirms in seconds.
WhatsApp appointment booking without forms, links or apps
WhatsApp appointment booking should feel like messaging a helpful receptionist, not like filling in a web form on a small screen. With NextReply the customer types or says what they want, the assistant checks your Google Calendar, offers real free times and confirms the booking in the same chat. You get an instant alert. The customer gets a clear confirmation they can scroll back to later.
Most WhatsApp booking system tools still push customers out of the chat to a booking page. That extra tap is where people drop off, especially on a slow mobile connection or when they are messaging between other tasks. Our approach keeps the whole exchange in the conversation, and it is the core of every NextReply feature.

- You’re live: the AI replies 24/7 and books appointments into your calendar
The booking conversation, step by step
Here is what happens when a customer writes "Hi, do you have anything Friday afternoon for a haircut?"
- Understand the request. The assistant identifies the service (haircut), the day (this Friday) and the rough time (afternoon). If the message is vague, it asks one short question, such as "Men's cut or cut and blow-dry?"
- Check availability. It reads your live Google Calendar for the right team member and finds free slots that fit the service length.
- Offer options. It suggests two or three times, for example 14:00, 15:30 or 17:00, so the customer chooses rather than negotiates.
- Collect details. It asks for anything still missing, usually the customer's name.
- Confirm. It writes the booking to the calendar and sends a confirmation with the service, date, time and staff member.
- Notify you. You receive an instant notification and the booking appears in your dashboard calendar view.
If two customers chase the same slot at once, the first to confirm gets it, and the assistant offers the next free time to the second. That is how a WhatsApp booking bot avoids the double-booking problems you get with shared spreadsheets or a paper diary.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
What the assistant collects for every booking
Every confirmed booking includes four things: the customer's name, the service, the date and the time. Their WhatsApp number comes with the chat. You can ask the assistant to gather extra details where your business needs them, for example an address for a home visit, the car model for a garage, or the child's age for a trial lesson. Keep this list short. Each extra question adds friction, and most details can wait until the visit.
| Business | Typical extra question |
|---|---|
| Salon or barber | Which stylist, if they have a favorite |
| Dental practice | New or returning patient |
| Home services | Address and a photo of the problem |
| Garage | Car make and model |
| Tutoring | Subject and school year |
Live Google Calendar checks on every plan
The assistant never guesses availability. It reads your Google Calendar before offering any time, so lunch breaks, days off and appointments you added by hand are respected automatically. If each staff member has a calendar, bookings go to the right one. Google Calendar booking is included on Starter, Pro and Business.
This is the part most DIY builds get wrong. A homemade WhatsApp appointment scheduling setup often books first and checks later, or it stops working when an access token expires. We handle the calendar connection for you and keep it running.
Set up your services so the assistant books them correctly
The assistant books only as well as your service list allows. Three habits make a big difference. First, give every service a realistic duration, including clean-up or travel time, because the assistant uses it to find gaps in the calendar. A 45-minute color treatment that really takes 75 minutes will squeeze the next client. Second, name services the way customers say them. People ask for a "fade", a "cleaning" or a "deep tissue", not "Service code 14". Add common nicknames to the description so the assistant matches them. Third, link each service to the team members who can do it. Then a request for "a cut with Jamal on Saturday" checks only Jamal's calendar.
Write short FAQ answers for anything customers ask before they commit: price ranges, how long the visit takes, whether parking is nearby and what to bring. When those answers sit in the knowledge base, the assistant can reassure a hesitant customer and move straight to offering a time.
A WhatsApp booking system compared with booking pages
There are two common ways to take bookings through WhatsApp. One sends the customer a link to a booking page. The other books inside the chat. Both work, but they suit different customers.
| Booking-page link | In-chat booking (NextReply) | |
|---|---|---|
| Customer effort | Leave the chat, load a page, pick from a grid | Reply in their own words, voice note or text |
| Questions before booking | Usually answered elsewhere | Answered in the same chat |
| Language | Page language only | Customer's own language |
| Vague requests ("sometime next week") | Customer must decide alone | Assistant suggests specific slots |
If your customers are confident web users who like to browse a full calendar, a booking page is fine. If they message because it is easier than anything else, keep them in the chat.

When plans change after booking
People run late, fall ill or double-book themselves. When a customer writes to change or cancel, your handoff rules decide what happens: the request can go straight to your team with the original booking details attached, so a person confirms the change. Many owners prefer this because it lets them offer the freed slot to someone else or apply their cancellation policy.
Appointment reminders are coming soon to NextReply: the feature is built and waiting on Meta's template approval. Until it goes live, the booking confirmation in the chat already does part of the job, because it puts the service, date, time and staff member in writing where the customer can find it again. Our guide to reducing no-shows covers what works today and what reminders will add.
- Appointment booked: Saved to the calendar
- Reminder (coming soon): Waiting for Meta approval
- Customer confirms / Asks to reschedule
- Calendar stays current: Freed slots reopen
What WhatsApp booking costs in Meta fees
Since July 2025, Meta prices the WhatsApp Business Platform per delivered template message rather than per conversation. Replies sent within 24 hours of a customer's message are service messages, and Meta does not charge for them. Most booking conversations start with the customer, so the back-and-forth that leads to a booking normally falls inside that free window. Template messages sent outside it, such as next-day reminders or campaigns once they launch, are charged by Meta at rates that vary by country and category. Our pricing page explains how this sits alongside your NextReply plan.
WhatsApp booking today, Instagram and Messenger coming soon
Not every customer starts on WhatsApp. A client may reply to your Instagram story or message your Facebook Page after seeing an ad. Booking currently works on WhatsApp only. Instagram DMs, Messenger and Telegram are coming soon, and are planned to use the same booking flow and the same calendar.
Until then, the simplest fix is to route those customers to WhatsApp: add the WhatsApp button to your Instagram profile and Facebook Page, and run ads that open a WhatsApp chat. Once they are in WhatsApp, the assistant books them exactly as described above. Meta also limits Instagram and Messenger replies to 24 hours after the customer's last message, which is another reason WhatsApp is the better place to finish a booking. Each channel's status is on the channels page.
- WhatsApp: Live / Instagram: Coming soon / Messenger: Coming soon / Telegram: Coming soon
- NextReply AI agent: Live on WhatsApp
- Google Calendar: No double bookings / CRM by webhook: Business plan / Your team: Takes over when needed
Who gets the most from in-chat booking
In-chat booking pays off fastest for businesses with short, repeatable services and lots of evening messages: salons and barbers, nail studios, physiotherapists, dental clinics, tutors and fitness studios. It also helps businesses where a booking needs a little context first, such as home services and garages, because the assistant can gather a photo or a voice note before it offers a slot. Questions people ask
Is there a free trial?
Yes. Every plan starts with a 7-day free trial. Connect your WhatsApp number and Google Calendar, add a few services and send yourself a booking request to see the whole flow on your own diary.
How do customers book an appointment on WhatsApp with NextReply?
They message your business number as they normally would. The assistant asks what service they want, offers free times from your Google Calendar and confirms the booking in the chat. No link or app is needed.
Can the WhatsApp booking bot handle several staff members?
Yes. Add your team and link each person's calendar. The assistant offers times for the right person, or for anyone qualified if the customer has no preference.
What stops two people booking the same slot?
The assistant checks live calendar availability before offering and again before confirming. The first customer to confirm gets the slot; the next one is offered another time.
Can customers book by voice note?
Yes. The assistant understands voice notes, so "Can I come Thursday after work for a trim?" spoken aloud works the same as typed text.
Is there a limit on bookings?
Starter includes up to 500 bookings a month, Pro up to 1,500 and Business is unlimited. The limits count bookings made each month, so you can pick a plan by looking at your current diary.
Do I pay Meta for booking conversations?
Replies within 24 hours of a customer message are free service messages under Meta's current pricing. Template messages outside that window, such as reminders, are charged by Meta per delivered message.
Does it work with calendars other than Google?
Not at the moment. NextReply books into Google Calendar, which you can use on any device alongside your current tools.
