A WhatsApp appointment booking system for Malaysian SMEs
Most booking systems ask your customer to leave WhatsApp, open a link, create an account and pick from a grid. Many never finish. In Malaysia, where nearly every customer already chats with businesses on WhatsApp, the shorter path is to book inside the chat itself.
NextReply is a WhatsApp appointment booking system for Malaysia that does exactly that. The customer types or sends a voice note, in Malay, English or Chinese. The AI works out the service, checks your Google Calendar, offers real open slots, collects the details and confirms. The booking appears in your calendar and dashboard, and your team gets a notification. No forms, no app downloads, no "please call during office hours".

A two-minute walkthrough of the real app: connect WhatsApp, set up your receptionist, start the free trial and go live.
What the video shows
- Connect your WhatsApp number through Meta
- Set up your AI receptionist: name, tone, language, opening hours and handover to a person
- Choose a plan ($29, $59 or $99 a month) and start the 7-day free trial, with checkout by Stripe
- You’re live: the AI replies 24/7 and books appointments into your calendar
The booking flow, step by step
- Customer asks. "Nak book scaling hari Sabtu" or "Can I see Dr. Lim on Thursday evening?"
- AI identifies the service and duration from the list you set up, so it knows a scaling takes 45 minutes and a consultation takes 20.
- AI checks availability in the right Google Calendar: the specific dentist, stylist, room or bay.
- AI offers two or three real slots and handles back-and-forth like "later sikit boleh?"
- AI collects the details: name, service, date and time, plus anything else you require, such as the child's name for a tuition class or the car model for a workshop.
- AI confirms in the chat and writes the booking to your calendar. No double-booking, because the slot is taken the moment it is confirmed.
- You are notified instantly, and the booking shows in the NextReply dashboard and calendar view.
The underlying calendar link is explained on the Google Calendar integration page, and the full product tour is on how it works.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
Three languages, one booking flow
The same appointment can arrive in very different words. Here is a dental check-up booked three ways at a practice in Petaling Jaya:
BM: "Salam, boleh buat temujanji check-up gigi untuk anak saya Jumaat petang?"
AI: "Waalaikumussalam. Jumaat petang ada slot 3:30pm dan 5:00pm dengan Dr. Aina. Siapa nama anak puan?"
English: "Hi, any slot for a dental check-up this Friday after 3?"
AI: "Hi! Friday has 3:30pm and 5:00pm with Dr. Aina. Which one works, and may I have the patient's name?"
中文: "你好,星期五下午可以帮孩子预约检查牙齿吗?"
AI: "你好!星期五下午有3:30和5:00,由Dr. Aina看诊。请问孩子的名字是?"
All three end as the same calendar entry. You only maintain one service list. The AI's ability to switch languages is covered on the features page.
- مرحبا، عندكم موعد؟ / Olá, tem horário? / Hola, ¿hay cita? / Hi, any slots?
- Detects the language: From a WhatsApp text or voice note
- Replies in that language: You set it up once
Reschedule and cancel requests in the same chat
Changing a booking is where many systems fall down. With NextReply, the customer simply replies "can change to next week?" in the same chat. The assistant recognises the request and passes it to your team with the original booking attached, so a person confirms the new time and frees the old slot for someone else. Cancellation requests are passed on the same way, so nobody has to scroll back through the chat to find the details.
To keep slots from going empty today, the clear written confirmation does most of the work: the customer has the service, staff name, date and time in the chat and can reply at any time to ask your team to move it. Automatic appointment reminders are coming soon; when they launch they will go out as opt-in WhatsApp template messages, which Meta bills per message. The no-show reduction guide covers what helps now.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
Why booking inside WhatsApp beats a booking link
Booking pages work well for customers who already know exactly what they want. Most do not. They want to ask a question first: "Is this suitable for sensitive skin?", "How long does a full service take for a Myvi?", "Ada cikgu perempuan untuk Add Maths?" A link cannot answer that, so the customer either gives up or waits for a human reply. The AI answers the question and books in the same thread, which is how people already talk to businesses in Malaysia.
There is also the mobile reality. Many customers chat on older phones with patchy data, between LRT stops or in a car park in Cheras. A short chat costs less effort than loading a booking page, filling a form and waiting for an email confirmation they may never open. WhatsApp confirmations are read within minutes.
And for the business, it means one inbox. Questions, bookings, changes and cancellations all sit in WhatsApp and your NextReply dashboard, instead of being split between a booking tool, an email inbox and the shop phone.
Tuition centres, workshops and home services
The same booking engine works beyond beauty and health. Tuition centres book trial classes and assessment sessions for parents. Car workshops in Shah Alam or Puchong book service bays by time slot, with the AI asking for the car model and the problem, and passing photos of warning lights to the mechanic. Aircon servicing and cleaning companies book visits by area and time window. In each case you define the services and durations, connect the calendars, and the AI handles the conversation.

A WhatsApp booking system for clinics in Malaysia
Clinics are where a booking system has to be most careful. A WhatsApp booking system for a clinic in Malaysia should book appointments, answer practical questions and stop there. NextReply books by doctor, answers questions about fees, panels and opening hours, and hands every medical question to staff. Patients who mention urgent symptoms are told to seek emergency care, and your team is alerted.
Clinics around the big private hospitals, from Jalan Ampang to Bangsar and Subang Jaya, see a lot of follow-up traffic. Separate calendars per doctor keep the AI from offering a slot when the doctor is in theatre or on leave. For dental practices, the general dental clinic page covers recalls and emergency triage.
Salons, spas and aesthetic clinics
Beauty businesses need stylist-level booking and good handling of combined services. A client asking for "hair colour and treatment, Saturday, with Mei" needs a long block with one named stylist. The AI checks that stylist's calendar for a gap long enough for both services and offers only times that fit. Clients can send a reference photo, and the AI uses it to choose the right service. More examples are on our salons and aesthetic clinics page.
Instagram DMs and Messenger: coming soon
Plenty of Malaysian customers find a business on Instagram first. Booking from Instagram DMs and Facebook Messenger is coming soon, using the same services, calendar and rules as WhatsApp. Telegram is coming soon too. Today, booking, voice notes and photos work on WhatsApp only, so the simplest move is a "WhatsApp us to book" link in your Instagram bio and on your Facebook Page.
One thing will work differently once those channels launch: Meta only allows businesses to reply on Instagram and Messenger within 24 hours of the customer's last message, so the AI will aim to book while the conversation is live. Email hello@nextreply.io if you want to be told when they go live, and see the channels overview for what each app is planned to do.
- WhatsApp: Live / Instagram: Coming soon / Messenger: Coming soon / Telegram: Coming soon
- NextReply AI agent: Live on WhatsApp
- Google Calendar: No double bookings / CRM by webhook: Business plan / Your team: Takes over when needed
You stay in control
- Working hours and breaks: lunch hours, Friday prayers, staff leave and public holidays are respected.
- Services, hours and FAQs: you decide what can be booked, for how long, and what the AI says about each service.
- Handoff: anyone can ask for a person, and the AI hands over complaints and sensitive questions automatically.
- Owner notifications: every new booking triggers a message, so you always know what is coming.
- Coexistence: keep using the WhatsApp Business app on your phone alongside the AI.
- Unusual request: Complaint, refund or special case
- AI receptionist: Knows when to step back
- Answers from your FAQs: Services, hours and prices / Hands the chat over: Your team is notified
- Your team replies: Same chat, full history
Customer data and the PDPA
A booking needs a name, phone number, service and time. Collect no more than that. Under Malaysia's Personal Data Protection Act 2010, as amended in 2024, businesses must handle personal data for a clear purpose and protect it. Tell customers an AI assistant takes bookings, restrict dashboard access, and keep sensitive information such as medical history out of chat flows.
Plans and next steps
All three plans include WhatsApp booking with Google Calendar: Starter at $29 a month for up to 500 bookings, Pro at $59 for up to 1,500, and Business at $99 for unlimited bookings with CRM webhooks. Every plan starts with a 7-day free trial. Prices are in US dollars; at checkout, your card or bank may show an estimate in ringgit. Full details are on the Malaysia pricing page. Questions people ask
Do customers need to download an app or click a link to book?
No. The whole booking happens inside the WhatsApp chat. The customer types or sends a voice note, picks a slot and gets a confirmation.
Can the system book different staff or rooms?
Yes. Connect a Google Calendar for each doctor, stylist, room or bay, and the AI only offers slots that are free for the one the customer chose.
Does it handle Malay, English and Chinese?
Yes. The AI replies in the customer's language, including mixed messages, and books from the same service list.
Can customers reschedule on WhatsApp?
Yes. They can ask in the same chat, and the assistant passes the reschedule request to your team with the booking details, so a person confirms the new time.
Can I book appointments from Instagram DMs?
Not yet. Instagram DMs and Messenger booking are coming soon. Today booking works on WhatsApp, so link your Instagram bio to your WhatsApp chat and those customers are booked straight away.
Is this suitable for a clinic?
Yes, for bookings and practical questions. Medical questions always go to your staff, and urgent symptoms trigger emergency guidance and an alert.
Will it double-book?
No. Slots are checked against Google Calendar and taken the moment a booking is confirmed.
Is there a free trial?
Yes. Every plan has a 7-day free trial. Add your services and calendars, connect WhatsApp and let customers book for a week before you pay.
