Business plan integration

WhatsApp bookings and leads, logged in HubSpot automatically

Every appointment the AI books on WhatsApp becomes a HubSpot contact and deal, with the service, date and source channel filled in.

From a WhatsApp chat to a HubSpot record, without copy and paste

Most HubSpot users who sell or book on WhatsApp have the same leak. A customer messages at 10:40pm, someone answers the next morning, the appointment goes into a calendar, and the contact never reaches HubSpot. Weeks later nobody can say which campaign produced the booking. A WhatsApp HubSpot integration fixes that leak at the source: every conversation the AI books becomes a contact and a deal, with the service, the date and the channel attached.

NextReply is an AI receptionist for WhatsApp. It answers enquiries 24/7, books appointments into Google Calendar and hands tricky chats to your team. On the Business plan, every booking it makes can also be sent to your CRM by webhook, or through Zapier and Make, and HubSpot is the CRM we see most often. This page explains exactly which fields travel, where they land and how to set up the deal stage so your pipeline reflects real appointments, not guesses.

We wrote it for two kinds of buyers in particular: estate agencies that already track viewings as HubSpot deals, and clinics that run patient enquiries through HubSpot but want bookings to stay in the diary. Both groups need the record to appear on its own, the moment the booking is confirmed.

What NextReply sends to HubSpot for each booking

When the AI confirms an appointment, it already holds the details it collected in the chat. The integration passes those details on as one structured event. You decide which ones HubSpot keeps.

Data from the chatTypical HubSpot propertyExample
Customer nameContact: firstname / lastnameLayla Haddad
Phone number (WhatsApp ID)Contact: phone or mobilephone+971 50 123 4567
Service bookedDeal: dealname, or a custom "Service" property2-bed viewing, Unit 1204

ChannelContact or deal: custom "Source channel"WhatsApp (more channels coming soon)

Two rules keep the data clean. First, match contacts on the phone number, because that is the one identifier every WhatsApp conversation has. Second, create a new deal per booking rather than overwriting an old one, so a repeat client shows up as repeat revenue instead of a single record that keeps changing date.

Bookings sent to your tools by webhook

  2. Webhook: Business plan
  3. Zapier / Make / HubSpot / Google Sheets

Three ways to send WhatsApp leads to HubSpot

The Business plan gives you a webhook for every booking plus ready routes through automation tools. Pick the one your team can maintain.

1. Zapier

The quickest route for most small teams. A Zap listens for the NextReply booking webhook, runs "Find contact" in HubSpot by phone, creates the contact if it does not exist, then creates a deal in your chosen pipeline and stage. No code, and you can add a Slack or email alert in the same Zap.

2. Make

Better when you want branching. A Make scenario can send viewing requests to the lettings pipeline and sales viewings to the sales pipeline, or skip deal creation for a free consultation while still logging the contact.

3. Direct webhook to your own endpoint

If you have a developer, point the webhook at your own service and call HubSpot's API directly. This suits agencies with custom objects, such as a "Property" object linked to each deal. Our webhook testing dashboard shows each payload we send, so your developer can check the exact JSON before going live.

Whichever route you choose, the AI's job ends at a confirmed booking. Everything after that, from lead scoring to sequences, stays inside HubSpot where your team already works. You can see the full list of tools on our integrations page.

HubSpot WhatsApp booking: set up the deal stage properly

The most common mistake we see is dropping every WhatsApp booking into the first stage of a sales pipeline. A booked viewing or consultation is further along than a cold lead, and your reports should say so.

  1. Create a stage called "Appointment booked" (or "Viewing booked") with a probability that matches your history, for example 40% for viewings that usually lead to an offer.
  2. Add a stage after it called "Attended". Your team moves deals here after the visit. The gap between "booked" and "attended" becomes your no-show rate.
  3. Keep the appointment date in its own property. Close date means the expected sale date in most pipelines. Mixing the two breaks forecasts.
  4. Tag the source. Today every booking comes from WhatsApp, so tag the entry point instead: click-to-WhatsApp ad, website link, Instagram profile button or QR code. When more channels launch, the same field will tell you which one books the most.

With those four steps, a HubSpot dashboard can show bookings per week by channel, attendance rate and revenue from chat-sourced deals. That is the report most owners actually want when they ask for a WhatsApp CRM.

Recipe for estate and letting agents

Property enquiries arrive in bursts after a listing goes live on a portal or a click-to-WhatsApp ad. The AI asks the questions your agents would ask, such as budget, preferred area, move-in date and whether the buyer has a mortgage in principle, then books a viewing into the listing agent's Google Calendar.

The HubSpot side then looks like this:

  • Contact found or created by phone, with "Preferred language" set from the chat.
  • Deal named "Viewing, [property reference]" in the Lettings or Sales pipeline, stage "Viewing booked".
  • Custom properties for budget band and move-in month, so agents can filter hot leads before the viewing.
  • Deal owner assigned to the agent whose calendar received the booking.

Agents open HubSpot in the morning and find the viewings already logged, already qualified and already assigned. The AI does not negotiate, quote final prices or promise availability it cannot see. When a buyer asks something only an agent should answer, the chat moves to a person.

Recipe for clinics and treatment centres

Clinics use HubSpot differently. Most do not want medical details in a marketing CRM, and many should not have them there. The safer pattern is to send only the minimum: name, phone, treatment category, appointment date and source. Clinical notes stay in your practice system.

  • Map "Service" to a broad category ("Hygiene", "Whitening consultation") rather than a symptom the patient typed.
  • Use the "Attended" stage to trigger a review request or a follow-up email sequence in HubSpot.
  • Keep consent flags in HubSpot up to date before you send any marketing email to a patient who booked by WhatsApp.

The AI itself never gives medical advice. It books, answers your own FAQs about prices, parking and opening hours, and passes clinical questions to your staff in one tap. Read more about how the booking flow works on the appointment booking page.

Instagram, Messenger and Telegram: coming soon

WhatsApp is the channel NextReply works on today. Many businesses also take enquiries in Instagram DMs, on their Facebook Page through Messenger, or on Telegram. Those three channels are coming soon to NextReply; when they launch, the plan is for each booking to carry its source channel in the payload so HubSpot shows one contact with one history, wherever the conversation started.

Until then, route those enquiries to WhatsApp with a WhatsApp button on your Instagram profile and Facebook Page and click-to-WhatsApp ads. They then arrive in HubSpot like any other WhatsApp booking. Appointment reminders are also coming soon; when they launch, the "booked" and "attended" stages above will show you their effect. See each channel's status on the channels overview.

Setting it up in an afternoon

  1. Connect WhatsApp. Link your number to NextReply. With Coexistence you keep the WhatsApp Business app on the same number. The full sequence is on how it works.
  2. Add services, hours and FAQs. These become the options the AI offers and the answers it gives.
  3. Turn on the booking webhook in the Business plan settings and copy the URL into Zapier, Make or your own endpoint.
  4. Send a test booking from your own phone. Check the payload in the webhook testing dashboard, then check the contact and deal in HubSpot.
  5. Adjust the mapping until the deal lands in the right pipeline, stage and owner. Then go live.

Our team helps with this during dedicated onboarding, which is part of the Business plan. Compare what each plan includes on the pricing page.

What this integration does not do

We would rather you know the limits before you buy.

  • It sends bookings from NextReply to HubSpot. It does not pull HubSpot lists back into WhatsApp to send broadcasts.
  • It does not replace HubSpot's own inbox. Your team still handles handed-off chats in NextReply or the WhatsApp Business app.
  • HubSpot workflows, sequences and lead scoring are HubSpot features and depend on your HubSpot subscription.
  • CRM sending is a Business plan feature. Starter and Pro still book into Google Calendar and show every booking in the dashboard.

If your team mainly needs replies outside office hours rather than CRM records, start with after-hours replies and add HubSpot later.

Questions people ask

Is there a free trial?

Yes. Every plan has a 7-day free trial. Start on Business to test the HubSpot connection with the webhook testing dashboard before any real lead is sent.

Is there a native HubSpot app, or does it run through Zapier?

Bookings leave NextReply through a webhook on the Business plan. Most teams connect that webhook to HubSpot through Zapier or Make, and teams with a developer can post it straight to HubSpot's API. All three routes create the same contact and deal.

Will it create duplicate contacts?

Not if you search by phone number before creating a contact, which is the first step in every recipe on this page. The WhatsApp number is the most reliable match key because every chat has one.

Can I send leads that did not book?

The integration is built around bookings. If a chat ends without an appointment, your team can still see it in NextReply. Business plan webhooks can be routed so that only confirmed bookings create deals, which keeps your pipeline honest.

Which plan includes the HubSpot connection?

The Business plan, at $99 a month in US dollars, with a 7-day free trial. It also includes unlimited bookings, Zapier, Make and Sheets routes, the webhook testing dashboard and dedicated onboarding. Local taxes may apply.

Does the AI see my HubSpot data?

No. Data flows one way, from NextReply to HubSpot. The AI answers from the services, hours and FAQs you set up in NextReply, not from your CRM records.

Can different agents or doctors own different deals?

Yes. Each booking includes which calendar it went into, so your Zap or scenario can set the HubSpot deal owner to the agent or practitioner whose calendar received the appointment.
