Stylist blow-drying a client while a phone on the station shows a new WhatsApp booking

Salons and barbers

The salon receptionist that never puts clients on hold

Clients book the stylist they want, at a time that really is free, even at midnight. Your team keeps working.

WhatsApp booking for salons and barbers, done properly

WhatsApp booking for salons usually means one person juggling a phone between clients, typing "Sara is free at 3, or Mo at 4:30?" with dye on their gloves. NextReply takes that job off the floor. It answers every client message in seconds, checks each stylist's calendar, books the service and confirms, so your team can keep their hands on hair, nails and beards instead of the phone.

Salon clients message at the worst possible times: during the Saturday rush, late at night after seeing a style on Instagram, or ten minutes before closing hoping for a last-minute trim. A WhatsApp chatbot for salons answers them all, in their own language, and fills the chairs that would otherwise sit empty while a message waits on read.

Booking by stylist, not just by time

Clients rarely want "any slot". They want Sara for color, Mo for a skin fade, or "whoever did my nails last time". The assistant handles that the way a good receptionist would:

  • It checks the named stylist's calendar first and offers their next free times.
  • If that person is fully booked, it says so and offers another stylist who does the same service, or a later date with the same person.
  • It knows which team members perform which services, so a client never gets booked for balayage with a junior who only does blow-dries.
  • It respects each stylist's working days and breaks, because it reads their Google Calendar live.

Service length matters just as much. A men's cut might be 30 minutes, a full head of highlights three hours. Enter realistic durations and the assistant only offers gaps where the whole service fits.

A real salon booking on WhatsApp

Client: hiii do you have anything sat for a cut and gloss? with Leila if poss

Assistant: Hi! Leila has Saturday at 10:30 or 15:00 for a cut and gloss, about 90 minutes. Which one works?

Client: 15:00 please

Assistant: Lovely. Can I take your name?

Client: Hannah

Assistant: Booked: cut and gloss with Leila, Saturday at 15:00. If you have a photo of the look you want, send it here and Leila will see it before you arrive.

That is the whole job, done in under a minute, and the owner gets an instant notification. Read more about in-chat appointment booking.

Reference photos and voice notes from clients

Beauty clients think in pictures. They screenshot a bob from TikTok, a nail design from Pinterest or a beard shape from a barber's feed. The assistant understands photos, so a client can send one and say "this but a bit shorter". It uses the picture to suggest the right service, for example spotting that a look needs color as well as a cut, and it keeps the photo in the chat for the stylist.

Voice notes work too. A client walking to work can record "Hi, it's Amira, can I move my nails to Thursday?" and the assistant understands it. It does not judge whether a style will suit someone or quote a fixed price for a complex color job from a photo. Those questions go to a stylist through your handoff rules.

Answering "how much?" without the back-and-forth

"How much for a full set?" is probably the most common salon message on WhatsApp, and the most annoying to answer by hand, because the honest reply is often "it depends". Put your price ranges and what changes them into the knowledge base: hair length, extensions, gel versus acrylic, a senior stylist versus a junior. The assistant then gives a clear answer, such as "Full set in gel starts at 180 and takes about 75 minutes; nail art is extra", and moves straight to offering a time.

The same goes for patch tests, consultation rules and deposits for long services. If your policy says new color clients need a patch test 48 hours before, write that down and the assistant will mention it and book the test first. Clients appreciate knowing the rules before they arrive, and your stylists stop having the same conversation ten times a week.

Rebooking intervals and no-shows

Salon revenue lives on repeat visits. Roots show after five or six weeks, fades grow out in two or three, gel nails need infills after about three. Today, NextReply makes rebooking easy whenever a client messages: it knows your services and durations, checks the stylist's calendar and books the infill or touch-up in a couple of messages, day or night.

Appointment reminders are coming soon. They are built and waiting on Meta's template approval, and when they launch they will go only to clients who said yes to updates, as WhatsApp template messages that Meta charges per delivered message. Until then, each booking is confirmed in the chat with the service, stylist and time, which clients can scroll back to. Our guide to reducing no-shows covers what works for salons right now.

The bookings you lose after closing

Think about when clients actually decide to book. It is rarely 10am on a Tuesday. It is 10pm, scrolling, after seeing a friend's new color, or Sunday afternoon when they notice their nails. If your salon replies the next morning, many of those clients have already booked somewhere that answered. With after-hours replies, the assistant answers and books on the spot, and you wake up to a fuller calendar.

Salons in busy districts feel this most. Think of the beauty strip along Dubai's Al Wasl Road and Jumeirah Beach Road, the barbers of Lahore's MM Alam Road, or the salons around Bandra's Linking Road in Mumbai. Competition is a few doors away, and the fastest reply often wins the booking.

Barber WhatsApp booking: fast, short, walk-in friendly

Barbers work differently from full salons. Services are shorter, clients are often regulars, and many shops mix bookings with walk-ins. Set the assistant to be brief and casual, block walk-in time in the calendar so it stays free, and let regulars book "same as usual with Jay" in two messages. Short replies matter here. Nobody wants a paragraph to book a skin fade.

Salon Instagram DM booking: coming soon

Many salon clients find you on Instagram first. They see a reel, tap message and ask "how much for this?" or "any slots this week?". NextReply's Instagram AI agent is coming soon; it is not live yet.

Until it launches, give Instagram clients a one-tap route to WhatsApp: the WhatsApp button on your professional profile, a wa.me link in your bio and a story highlight that says "Book on WhatsApp 24/7". On WhatsApp the assistant quotes from your price list, understands the reference photo the client sends and books the right stylist. More on each platform is on the channels page.

What still goes to your team

Some salon conversations should always reach a person: color corrections, allergic reactions to a previous treatment, complaints, bridal party bookings with several people and a trial, and any request for a discount. Set those as handoff triggers. The assistant tells the client a team member will reply, stops answering in that chat and alerts you with the context.

Which plan suits a salon

A single salon with three or four chairs usually fits Starter, at up to 500 bookings a month. Larger salons with several stylists who change services and prices often choose Pro for editable services and full conversation history. Groups that send bookings to a CRM choose Business. Compare details on the pricing page, see every capability on the features page, or browse other industries. New here? Start with the overview. Plans are $29, $59 or $99 a month in US dollars, the same in every country, and each starts with a 7-day free trial. Local taxes may apply.

Questions people ask

Is there a free trial?

Yes. Every plan includes a 7-day free trial. Add your services, durations and stylists, then send a midnight booking request from your own phone to see it work.

Can clients choose their stylist on WhatsApp?

Yes. The assistant checks the named stylist's calendar first and offers their free times. If that person is booked, it offers another stylist who does the same service or a later date.

How does the salon WhatsApp chatbot know how long a service takes?

You set durations for each service. The assistant only offers gaps in the calendar where the whole service fits, including any extra time you add.

Can clients send a photo of the look they want?

Yes. The assistant understands photos, uses them to suggest the right service and keeps them in the chat for your stylist. Complex color pricing from a photo goes to a stylist.

Does it work for barbers with walk-ins?

Yes. Block walk-in time in the calendar so the assistant keeps it free, and set short, casual replies for quick bookings.

Can it reduce no-shows?

It helps today by booking clients the moment they message and confirming the stylist and time in the chat. Day-before appointment reminders are coming soon; they are built and waiting on Meta's template approval.

Can clients book from Instagram DMs?

Not directly yet; Instagram is coming soon. Add a WhatsApp button and bio link to your profile and clients can book with the assistant on WhatsApp today.

Will I keep my salon's WhatsApp Business app?

Yes. With WhatsApp Coexistence you keep the app and your number, and reply yourself whenever you want.
