WhatsApp booking for salons in India, from quick threading to bridal trials

NextReply handles WhatsApp booking for salons in India the way your best front-desk person would. Clients message or send a voice note in Hindi, English or Hinglish; the assistant answers price questions, checks the right stylist's calendar, books the slot and confirms it in the chat. It works at midnight, on Sundays and right through wedding season, and it passes custom bridal quotes and complaints to you.

Indian salons are booked in a hurry. A client decides at 10pm that she wants a blow-dry before tomorrow's office party. A groom's friends want five haircuts and beard styling on the same Saturday. A bride wants her trial with the senior makeup artist, not anyone else. When the reply comes the next afternoon, the client has often booked the salon that answered first.

Stylist-wise calendars and realistic service times

Clients in India are loyal to stylists, not just salons. "Is Pooja free on Saturday?" matters more than "Do you have a slot?" NextReply books against each stylist's own Google Calendar, so the client can choose a person or take whoever is free first.

Each service gets a realistic duration, so the calendar does not overflow:

ServiceTypical duration you might set
Eyebrow threading, upper lip10 to 15 minutes
Men's haircut and beard styling30 to 45 minutes
Global hair colour2 to 2.5 hours
Keratin or smoothening3 to 4 hours
Facial or clean-up45 to 75 minutes
Gel nails or nail art60 to 90 minutes
Bridal trial2 to 3 hours

You set the durations and which stylists offer which services. The assistant only offers combinations that fit. Details are on the appointment booking page, and calendar sync is on the Google Calendar page.

From first message to confirmed booking
  1. Customer message: “Any slot tomorrow afternoon?”
  2. AI receptionist: Reads service, date and time
  3. Checks your calendar: Offers only free slots
  4. Confirms in the chat: Name, service and time
  5. Booked: In Google Calendar, owner alerted

Hinglish messages, voice notes and reference photos

Salon clients rarely type a neat request. They send "Hi! Kal keratin ho jayega? Price kya hai long hair ka?", a 30-second voice note recorded in the car, or a screenshot from Instagram with "same colour chahiye". NextReply understands all three.

  • Hinglish and Hindi in Roman or Devanagari script, plus English and regional languages
  • Voice notes, understood and answered in text so both sides have the details in writing
  • Photos of a hairstyle, colour shade or nail design, used to pick the right service; final colour advice stays with your stylist

The assistant replies in the client's own style: Hinglish for a Hinglish message, English for an English one. It answers price questions from your menu, including length-based pricing for hair services, and never makes up a rate.

Bridal booking on WhatsApp

Bridal clients are the highest-value bookings a salon gets, and the most detailed. A bride may want a trial three weeks before, a pre-bridal package of facials and hair treatments, then wedding-day makeup for herself, her mother and her sisters, starting at 5am for a morning muhurat.

NextReply handles the parts that should be quick and passes the rest to you:

  • Books bridal trials with the right senior artist and the right duration
  • Answers package questions from the bridal menu you load: what is included, starting prices, how many sittings
  • Collects the wedding date, venue city and number of people for wedding-day enquiries
  • Hands over custom quotes, outstation bookings, early-morning call-outs and advance payments to your bridal manager, with all the details already gathered

Advance payments stay with your team: you send your usual UPI request or payment link once the package is agreed. The assistant can tell the bride that an advance is needed to confirm the date.

Wedding season and festival peaks

From November to February, and again in the spring muhurat season, many salons are booked solid on weekends. Festivals add their own spikes: Karva Chauth, Navratri, Diwali, Eid, Teej, Onam and Christmas each bring a wave of last-minute requests for mehendi, hair, makeup and grooming.

On those days WhatsApp is at its busiest just when the team has no time to look at a phone. The assistant answers every message, books the gaps that still exist and tells clients honestly when a day is full, offering the nearest open slots instead. You can add festival packages or special hours for the week, and the assistant uses them straight away.

Salon and spa WhatsApp booking under one roof

Many Indian salons also run spa rooms: massages, body polishing, pedicures and couples packages. NextReply books rooms and therapists alongside stylists, so a client can book a haircut and a head massage in one conversation. Gift vouchers and membership questions can be answered from your FAQs or passed to the manager.

Spa services usually need a calmer tone than a busy hair floor. You can give the assistant a softer personality for spa enquiries, mention what clients should bring or avoid before a treatment, and set buffer time for room preparation between sessions.

Walk-ins, men's grooming and group bookings

Many Indian salons still take a lot of walk-ins, especially for men's haircuts and quick services. That is fine: the assistant only books slots that are actually free in the calendar, and your team keeps walk-in time open by blocking it. Clients who message "abhi aa sakta hoon?" get an honest answer based on today's bookings, not a guess.

Group requests are common before weddings and parties: "4 log, haircut aur beard, Saturday shaam". The assistant books each person in turn, back to back or with different stylists where the calendar allows, and confirms every appointment in the chat. Very large groups or on-location grooming can be passed to the manager with the details already collected.

Fewer no-shows on your busiest days

A no-show for a three-hour keratin slot on a Saturday is painful. Part of the fix is simply clarity: every booking NextReply makes ends with a written confirmation in WhatsApp showing the service, the stylist, the date and the exact time, so "I thought it was 4 o'clock" stops happening. If a client cannot make it, she replies in the same chat and the assistant moves her to another free slot, which puts the Saturday time back on the calendar for the next person who asks.

Automatic appointment reminders are coming soon. They are built and waiting for Meta's template approval; once live, they will go only to clients who opt in and will be billed by Meta per message. See what reduces no-shows today.

Late-night messages, answered

Salon enquiries peak after dinner, when clients scroll Instagram and plan their week. If your salon closes at 9pm, that is exactly when you go silent. NextReply keeps booking through the night, using your real availability, so the morning starts with a fuller calendar. Read more on after-hours replies.

Salon Instagram DM booking: coming soon

For many salons in Bandra, Hauz Khas or Indiranagar, Instagram is the shop window. Reels of balayage, bridal looks and nail art bring DMs like "price for this?" and "Sunday slot?". Instagram support in NextReply is coming soon; when it launches, those DMs will be answered with your menu and your stylists' calendars, just like WhatsApp.

Today the booking happens on WhatsApp. Add a "Book on WhatsApp" link to your bio and story highlights, and ask followers to send their reference screenshot there: the assistant reads the photo, suggests the matching service and books the stylist. See what is planned on the Instagram AI agent page and the channels overview, or email hello@nextreply.io to hear when Instagram goes live.

Setting up your salon

  1. Connect your WhatsApp number with Coexistence and keep the app on the reception phone.
  2. Add stylists and therapists with their days off and timings.
  3. Load your service menu with durations and prices, including length-based hair pricing and bridal packages.
  4. Write FAQs: address and landmark, parking, payment modes, cancellation and late-arrival rules.
  5. Set handoff topics such as bridal quotes, complaints and refunds, test with a Hinglish voice note and go live.

A neighbourhood salon usually fits Starter; a busy salon and spa or a small chain fits Pro or Business. Compare plans on the India pricing page, see the full feature list, go back to the India overview or browse other industries.
