Google Calendar

Your Google Calendar, booked straight from WhatsApp

NextReply reads your live availability, books the slot from the WhatsApp chat and keeps every calendar free of double-bookings.

A WhatsApp Google Calendar integration that books, not just notifies

Most WhatsApp Google Calendar integrations you find online are recipes: connect a WhatsApp gateway to an automation tool, add a language model, add a Google Calendar step, and hope it all holds together. They can work, but someone has to build them, test them and repair them when a token expires or an API changes. Many only send a reminder or create an event after a person has already agreed the time by hand.

NextReply does the whole job as a product. The assistant reads your live Google Calendar availability, offers real free times in the WhatsApp chat, writes the booking to the right calendar the moment the customer confirms, and prevents double-bookings. It is included on every plan, from Starter up. No n8n, no Zapier, no Fiverr gig to maintain.

From first message to confirmed booking
  1. Customer message: “Any slot tomorrow afternoon?”
  2. AI receptionist: Reads service, date and time
  3. Checks your calendar: Offers only free slots
  4. Confirms in the chat: Name, service and time
  5. Booked: In Google Calendar, owner alerted

How WhatsApp booking with Google Calendar works

  1. A customer asks for a time. "Any chance of Thursday after 5?" by text or voice note.
  2. The assistant checks the calendar. It looks at the relevant Google Calendar for that service and staff member, and finds gaps long enough for the service.
  3. It offers options. Two or three specific times, so the customer picks rather than negotiates.
  4. It confirms and writes the event. As soon as the customer chooses, the booking is created in Google Calendar with the booking details, so anyone looking at the calendar knows who is coming and for what.
  5. You are notified. An instant notification goes to the owner, and the booking appears in the NextReply dashboard calendar view.

The whole exchange happens inside WhatsApp. The customer never opens a link or a booking page. See the conversation side on the appointment booking page.

How double-bookings are prevented

Double-bookings happen when two systems hold different versions of the truth: a paper diary and a WhatsApp chat, or a booking page and a receptionist's memory. With NextReply, Google Calendar is the single source of truth. The assistant checks live availability before it offers a slot and again before it confirms. Anything already in the calendar blocks that time, whether it came from a WhatsApp booking, a phone call your receptionist entered by hand, or a personal appointment the owner added on their phone.

If two customers try for the same slot at the same moment, the first to confirm gets it and the second is offered the next free time. Nobody arrives to find someone else in their chair.

This also means you can keep using Google Calendar exactly as you do today. Add, move or delete events from your phone or laptop as normal, and the assistant always works from what is actually there at the moment a customer asks.

Connecting your Google Calendar

Setup takes a few minutes in the NextReply dashboard:

  • Sign in with Google. Use the Google account that owns or can edit the calendars you want to use. Both personal Google accounts and Google Workspace accounts work, although a Workspace admin may need to allow third-party apps first.
  • Grant calendar access. Google shows exactly what access NextReply requests before you approve it.
  • Choose calendars. Pick which calendar belongs to which staff member, room, bay or technician.
  • Map services. Tell NextReply which services each calendar can take and how long each one lasts.
  • Test. Book a test appointment from another phone and check it appears in the right calendar.

Access uses Google's official Calendar API, the same interface Google documents for developers. You can review or remove the permission from your Google account settings at any time.

One calendar per person, room or bay

Most businesses need more than one calendar. A salon has a calendar per stylist, a clinic per doctor, a spa per therapist plus the couples suite, a garage per bay, a cleaning company per crew. Give each its own Google Calendar and link it in NextReply. The assistant then books "Sara on Saturday", "any dentist on Tuesday morning" or "the next free AC technician in the north of the city" correctly, because it checks only the calendars that can take that service.

Working hours, breaks and days off

The assistant respects your working hours and anything already in each calendar. Block lunch breaks, school runs, training days and holidays as events and they disappear from the times offered. If a stylist is off on Mondays, either set that in their working hours or add a recurring event. Changes take effect on the next customer message, because the assistant always reads the calendar live rather than from a copy.

Service length, buffers and travel time

The assistant finds gaps by comparing each service's length with the free time in the calendar. So the most important setting is an honest duration. If a color treatment takes two hours plus fifteen minutes to clean the station, enter two hours fifteen. If a cleaner needs half an hour to drive between jobs, build that into the service length or block travel time in the calendar. Mobile businesses often add a standard buffer to every service so the next booking never starts before the van arrives.

For services that vary, such as a haircut that might be short or long, set the duration for the longer version or create two services with clear names. The assistant will ask the customer which one they need before it offers times, which avoids squeezing a long appointment into a short gap.

When your team changes

Staff join, leave and change hours. When someone new starts, create their Google Calendar, share it with the connected account and map their services in NextReply. When someone leaves, remove the mapping so the assistant stops offering their time, and move any future bookings to a colleague. For the account itself, connect a shared business Google account rather than a personal one, so access does not disappear with a departing manager. On Pro and Business you can update team, services and hours yourself whenever you need to.

What to know before you start

NextReply books into Google Calendar only. If your bookings currently live in Outlook, Apple Calendar or a practice-management system, you will need to use Google Calendar for the bookings NextReply makes. Many small businesses already do, because it is free and works on every phone. Keep each calendar tidy: old test events and forgotten blocks hide real availability. And make sure the Google account you connect will not be deleted when a staff member leaves.

One calendar for WhatsApp now, and for new channels later

Today every booking NextReply makes comes from WhatsApp and lands in your Google Calendar. Instagram DMs, Facebook Messenger and Telegram are coming soon, and they are planned to book into the same calendar, so a slot taken on one channel will never be offered on another. Each channel's status is on the channels page.

Pricing is simple: Google Calendar booking is included on every plan, from $29 a month, and every plan starts with a 7-day free trial. Prices are in US dollars; local taxes may apply.

Questions people ask

Is there a free trial?

Yes. Every plan has a 7-day free trial. Connect your Google Calendar, send yourself a booking request on WhatsApp and watch the event appear, with no Zapier or n8n involved.

Is Google Calendar booking included on every plan?

Yes. Starter, Pro and Business all include Google Calendar booking with live availability checks.

Do I need Zapier or n8n to connect WhatsApp to Google Calendar?

No. NextReply connects to Google Calendar directly. Zapier and Make are only needed if you also want bookings sent to other tools on the Business plan.

How does it stop double-bookings?

It checks the live calendar before offering a time and before confirming. Anything already in the calendar blocks that slot.

Can I use one calendar per staff member?

Yes. Link a calendar for each person, room, bay or technician and map the services each can take.

Does it work with Google Workspace accounts?

Yes. Both personal Google accounts and Google Workspace accounts can be connected. Some Workspace admins restrict third-party apps, so check with yours first.

What if I add an appointment by hand?

The assistant reads the calendar live, so your manual appointment blocks that time straight away.

Does it support Outlook or Apple Calendar?

Not at the moment. NextReply books into Google Calendar only.
