Dental clinics
Fill your dental schedule straight from WhatsApp
Checkups and hygiene visits booked 24/7. Pain and clinical questions go straight to your team.
A WhatsApp chatbot for dental clinics that knows its limits
A WhatsApp chatbot for dental clinics has two jobs. The first is obvious: answer patients quickly and book checkups, hygiene visits and treatments into the right dentist's diary. The second matters just as much: recognize when a message is not a booking request but a patient in pain, worried about a symptom or asking a clinical question, and pass it to a person straight away.
NextReply does both. It replies to every patient within seconds, day or night, books routine appointments into Google Calendar, answers fee and insurance questions from your own FAQ, and hands anything clinical or urgent to your team. Your reception stops spending the first hour of every morning clearing WhatsApp, and patients stop waiting until lunchtime to hear back.

Dentist WhatsApp booking for routine care
Most dental messages are routine, and routine is exactly what an assistant should take off your desk:
- Checkups and exams. The assistant asks whether the patient is new or returning, offers times with their usual dentist where possible and confirms.
- Hygiene and scale-and-polish visits. Booked into the hygienist's calendar, with the right duration.
- Follow-up appointments. "Dr Khan said to come back in two weeks for the crown fit" becomes a booking with Dr Khan.
- Children's appointments. Parents can book for their kids, often several siblings back-to-back, which the assistant handles as separate bookings.
- Consultations for whitening, aligners or implants. Booked as a consultation, with your price guidance from the FAQ.
Each dental appointment on WhatsApp is confirmed in the chat, with the dentist, date and time, and you get an instant notification. See how the full flow works on the appointment booking page.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
Emergencies and pain go to a human, every time
"My tooth is killing me." "My face is swollen." "My child knocked out a tooth at football." These are not booking requests. They are patients who need a trained person. You set handoff triggers for pain, swelling, bleeding, trauma and any request for advice. When one fires, the assistant replies with a short, calm message that a team member is being alerted, stops answering in that chat and notifies your staff with the message attached.
You choose what happens outside opening hours. Many practices add their out-of-hours instructions to the knowledge base, for example the local emergency dental service number, so the assistant can share that information while making it clear it cannot assess the problem. It never suggests medication, home remedies or whether something can wait.
Write the wording of that handoff message carefully with your clinical lead. A good one is short, kind and specific about what happens next, for example: "Thank you for letting us know. I've alerted our clinical team and someone will contact you as soon as possible. If you have difficulty breathing or swallowing, please call emergency services." The assistant will use your wording consistently, every time, in the patient's language.
- Unusual request: Complaint, refund or special case
- AI receptionist: Knows when to step back
- Answers from your FAQs: Services, hours and prices / Hands the chat over: Your team is notified
- Your team replies: Same chat, full history
Fee and insurance questions answered from your FAQ
"How much is a cleaning?" "Do you take my insurance?" "Is whitening covered?" "What does a filling cost on the NHS?" Fee and cover questions fill dental inboxes, and the answers rarely change. Write them once in the knowledge base: your price list or price ranges, the insurers and plans you work with, payment options and any finance arrangements. The assistant answers accurately and moves on to offering a time.
Where the answer depends on an examination, say so in your FAQ. The assistant will explain that the dentist confirms the final plan and cost at the consultation, which is honest and keeps patients from feeling misled.
Dental recalls: what works today and what is coming
Recall is where dental practices quietly lose revenue. Patients mean to come back in six months, then forget for eighteen. A WhatsApp message is far more likely to be read than a letter or an email, and the patient can reply "yes, next Tuesday?" and book in the same chat.
Here is where NextReply stands. When a patient messages you, at any hour, the assistant books the checkup or hygiene visit straight away, and that already catches many of the patients who remember on their own. Scheduled recall and appointment reminders are coming soon: they are built and waiting on Meta's template approval. When they launch they will go only to patients who opted in, as WhatsApp templates that Meta charges per delivered message at country rates. Our no-show guide explains what to do in the meantime.

A dental booking conversation
Patient: Hello, I'd like to book a check up and clean. I'm a new patient
Assistant: Welcome! For new patients we book a 45-minute exam with a dentist, then a hygiene visit. Dr Aziz has Tuesday at 09:15 or Thursday at 16:30. Which suits you?
Patient: thursday. how much is it?
Assistant: The new-patient exam is 250, including X-rays if needed. The hygiene visit is booked separately after the exam. Shall I confirm Thursday at 16:30?
Patient: yes please, Sana Malik
Assistant: Confirmed: new-patient exam with Dr Aziz, Thursday at 16:30. Please arrive 10 minutes early to complete your forms.

Nervous patients and the comfort of text
Many people put off the dentist because they are anxious, and phoning a busy reception can make it worse. Messaging lets them ask the awkward questions at their own pace: "Do you see nervous patients?" "Can I bring someone with me?" "Do you offer sedation?" Write gentle, factual answers to those questions and the assistant will give them without judgment, then offer a consultation slot. For anything about specific treatments or medical history, it hands over to your team.
Patient privacy and what the assistant should not ask
Treat WhatsApp as an administrative channel, not a clinical record. Set the assistant to collect only what a booking needs: name, phone number, new or returning, the reason in general terms. Do not ask patients to share medical histories, X-rays or insurance numbers in the chat. Follow your data protection obligations, such as the GDPR in the UK and EU or the equivalent law in your country, and mention WhatsApp in your patient privacy notice. Your practice remains responsible for how patient information is handled.
Busy practices, busy inboxes
Practices in dense healthcare districts feel the pressure most. Clinics around Dubai Healthcare City and Al Garhoud, dental surgeries in Lahore's DHA and Johar Town, and practices on Karachi's Clifton strip all hear from patients in several languages through the day. The assistant replies in Arabic, English, Urdu, Hindi or whichever language the patient writes in, using the same fee list and FAQ.
With after-hours replies, the patient who messages at 11pm about a checkup gets a booked slot instead of silence until morning.
Dental clinic Instagram DM booking: coming soon
Cosmetic dentistry in particular sells on Instagram. Before-and-after photos of whitening, veneers or aligners bring in DMs asking "how much?" and "do you have free consultations?". NextReply's Instagram AI agent is coming soon; it is not live yet.
Today, add a WhatsApp button to your Instagram profile and a click-to-chat link in your bio. Patients who tap it reach the assistant on WhatsApp, which quotes your price guidance and books the consultation into the right dentist's calendar. The channels page shows each platform's status.

Plans for dental practices
A single-dentist practice usually fits Starter. Group practices with several dentists and hygienists, or a practice manager who wants to review past chats and update fees directly, tend to choose Pro. Groups that send bookings to a practice CRM use Business. Plans are $29, $59 or $99 a month in US dollars, the same in every country, and each starts with a 7-day free trial. Local taxes may apply. Compare on the pricing page, check Google Calendar set-up, browse the features or other industries, or start at the home page.
Questions people ask
Is there a free trial?
Yes. Every plan includes a 7-day free trial, so a practice can test fee questions, emergency handoff and checkup bookings on its own number before paying.
Does the dental WhatsApp chatbot give clinical advice?
No. It handles bookings and administrative questions only. Pain, swelling, bleeding, injuries and any request for advice are handed to your staff straight away.
Can patients choose their dentist?
Yes. Link each dentist's and hygienist's Google Calendar. The assistant offers times with the patient's preferred clinician or anyone suitable.
Can it send dental recall reminders?
Not yet. Recall and appointment reminders are coming soon; they are built and waiting on Meta's template approval. Today the assistant books every patient who messages you, day or night.
Can it answer insurance questions?
It answers from your FAQ: which insurers and plans you accept, typical fees and payment options. Anything that needs an exam is explained as such.
What happens with an emergency at night?
The assistant follows your rules. Many practices share their out-of-hours instructions or emergency service number from the knowledge base and alert staff. It never assesses the problem.
Is WhatsApp suitable for patient data?
Use it for administration only. Collect what a booking needs, avoid medical details in the chat and follow the data protection law that applies to your practice.
Can patients book from Instagram?
Not directly yet; Instagram is coming soon. Add a WhatsApp button to your Instagram profile and patients can book with the assistant on WhatsApp today.
