Automotive and garages
Hear the strange noise. Book the service bay.
Drivers send a voice note or a dashboard photo; NextReply books the right bay and confirms the drop-off.

WhatsApp booking for car service and garages
WhatsApp booking for car service and garages has one big advantage over a phone call: drivers can show and tell. They can record the grinding noise when they brake, photograph the orange light on the dashboard, or send a picture of the scrape on the bumper. A service advisor learns more from that 20-second voice note than from five minutes of "it sort of goes clunk".
NextReply turns those messages into booked service bays. The assistant understands voice notes and photos, asks the questions your advisors would ask, and books the right job into the right bay or technician's Google Calendar. It replies 24/7, in the driver's language, and hands anything that needs a mechanic's judgment to your team. Your advisors stop juggling the phone and the counter.

Voice notes that describe the symptom
Drivers struggle to describe car problems in writing. Speaking is easier: "There's a squeal from the front left when I brake, and the steering wheel shakes a bit at 100." The assistant understands the voice note, recognizes that it is about brakes, and books a brake inspection rather than a general service. The original recording stays in the chat, so your technician can listen to the noise before the car arrives.
The assistant does not diagnose. It does not say "that's your pads" or tell anyone whether a car is safe to drive. It uses what it hears to pick the right booking type and, where your policy says so, hands the chat to an advisor.

Dashboard photos and damage pictures
A photo of the dashboard tells you which warning light is on, the mileage and often the make and model. A photo of a dent or a cracked windscreen helps a body shop decide whether it needs a quote visit. The assistant uses those images to ask better questions and book the right slot:
| Driver sends | Assistant books |
|---|---|
| Engine warning light photo | Diagnostic check |
| Service due reminder on the dash | Scheduled service for that mileage |
| Tyre with a bulge | Tyre inspection, with a safety handoff if needed |
| Bumper scrape | Bodywork estimate appointment |
| AC blowing warm air (voice note) | AC check and regas booking |
Your price guidance comes from the knowledge base, for example "diagnostic check 150, deducted from the repair if you go ahead". Repair estimates stay with your advisors.
Car service appointment bot with bay and technician calendars
Garages schedule around bays, lifts and specialist technicians. Set each one up as its own Google Calendar and give every job type a realistic duration: an oil change might take 45 minutes, a timing belt most of a day. The assistant offers only times when the right bay and the right person are free, so a quick service never blocks the alignment rig for the afternoon.
Drop-off and collection times matter too. Many garages prefer a morning drop-off window rather than exact appointments. Set your services that way and the assistant will offer "drop off between 8 and 9 on Thursday" instead of a precise slot.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
A garage booking from a voice note
Driver: [voice note, 0:18, describing a grinding noise when braking]
Assistant: Thanks for the recording. It sounds like your brakes need checking. What's the car's make, model and year?
Driver: Toyota Corolla 2019
Assistant: Got it. A brake inspection takes about an hour and costs 90, deducted if you go ahead with any repair. We can see you tomorrow with a drop-off between 08:00 and 09:00, or Thursday at 14:00. Which is better?
Driver: tomorrow morning
Assistant: Booked: brake inspection, tomorrow, drop-off 08:00 to 09:00. Your name, please? If the noise gets worse or the pedal feels soft, please don't drive the car and reply here so an advisor can help.
Writing a service menu drivers understand
Drivers do not know your job codes. They know symptoms and moments: "the 20,000 km service", "AC before summer", "new tyres", "the light came on". Name your services the way drivers talk and add common phrases to each description, so the assistant matches a message like "car's due a service, it's done 40k" to the right package.
- Scheduled services: list them by mileage or interval, with what is included and a price or price range by engine size.
- Inspections and diagnostics: state the fee and whether it is deducted from a repair.
- Common repairs: brakes, batteries, tyres, AC regas. Give "from" prices and say that final prices are confirmed after inspection.
- Extras: courtesy cars, collection and delivery, waiting area, Wi-Fi. These often decide which garage a driver chooses.
Make and model matter for parts and pricing, so ask for them on most bookings. A quick photo of the dashboard can save the driver typing the mileage, and it often shows which warning light is on as well. Ask drivers not to send photos of personal documents such as licenses or registration papers; your advisors can check those at the counter.

Service updates today, pickup reminders coming soon
Two kinds of follow-up matter to a garage. The first is the personal update: "your car is ready for collection" or "we found a worn brake pad, can we go ahead?". Your team can send those today from the WhatsApp Business app on the same number, thanks to Coexistence, while the assistant keeps handling new enquiries.
The second is the scheduled message: a reminder the day before a booking, or a note when the next service is due. NextReply's appointment reminders are coming soon. They are built and waiting on Meta's template approval, and when they launch they will go only to customers who opted in, as WhatsApp templates that Meta charges per delivered message. Until then, the booking confirmation in the chat gives every driver the date, time and service in writing. Our no-show guide covers what helps in the meantime.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
When an advisor should take over
Some messages need a person: anything about safety ("the brakes failed", "smoke from the bonnet"), repair estimates and approvals, warranty and insurance claims, complaints about previous work, and fleet accounts. Set those as handoff triggers. The assistant shares your safety wording where it applies, steps back from the chat and alerts an advisor with the conversation, voice notes and photos attached.
- Unusual request: Complaint, refund or special case
- AI receptionist: Knows when to step back
- Answers from your FAQs: Services, hours and prices / Hands the chat over: Your team is notified
- Your team replies: Same chat, full history
Drivers message when the garage is closed
Car problems show up on the commute, on the school run and on Sunday drives, not during your opening hours. With after-hours replies, a driver who hears a noise on the way home at 8pm gets a booked inspection for the next morning instead of trying three other garages. Garages serving drivers in Dubai Marina, JLT and Al Barsha, or around Lahore's Gulberg and DHA, compete on speed of reply as much as on price.
Every customer, in their language
Garages in big cities serve drivers who speak many languages. The assistant replies in the driver's language, using your one set of services and prices, and it understands voice notes in those languages too. Your advisors receive the booking with the details clear, whatever language the customer used.
- مرحبا، عندكم موعد؟ / Olá, tem horário? / Hola, ¿hay cita? / Hi, any slots?
- Detects the language: From a WhatsApp text or voice note
- Replies in that language: You set it up once
Garage Facebook Messenger chatbot: coming soon
Plenty of garages promote service deals and MOT or inspection offers on Facebook, and drivers reply in Messenger. NextReply's Messenger AI chatbot is coming soon; it is not live yet. Today the assistant works on WhatsApp, where it reads the photos and voice notes drivers send and books into your bay calendars.
To catch Facebook leads now, set your Page button to "Send WhatsApp message" and point service-deal ads at WhatsApp rather than Messenger. Every click then lands in a chat the assistant can book. The channels page shows each platform's status.
Plans for garages and workshops
An independent garage with a few bays usually fits Starter. Busy workshops with several technicians and frequently changing service menus choose Pro for editable services and full conversation history. Dealer groups and multi-site chains that push bookings into a DMS, CRM or shared sheet use Business webhooks with Zapier or Make. Plans are $29, $59 or $99 a month in US dollars, the same in every country, and each starts with a 7-day free trial. Local taxes may apply. See pricing, all features, other industries or the home page.
Questions people ask
Is there a free trial?
Yes. Every plan has a 7-day free trial. Send the assistant a voice note about a rattling exhaust and a dashboard photo from your own phone, and watch it book a bay.
Can drivers describe the problem in a voice note?
Yes. The assistant understands voice notes, uses them to choose the right booking type and keeps the recording in the chat for your technician.
Does the garage WhatsApp booking assistant diagnose faults?
No. It gathers information and books the right inspection or service. Diagnosis, estimates and safety advice come from your team.
Can it book by bay or technician?
Yes. Set up each bay or technician as a Google Calendar with job durations, and the assistant only offers times when the right resources are free.
Can I offer drop-off windows?
Yes. Configure services with drop-off windows and the assistant offers those instead of exact times.
