12 WhatsApp appointment reminder templates, ready to copy
A good WhatsApp appointment reminder template does three things in two or three lines: it tells the customer exactly what and when, it sounds like your business, and it makes replying easy. The reply matters most. A reminder that lets someone confirm, move or cancel in one tap gives you time to refill the slot. A reminder that says "call us to cancel" mostly gets ignored.
A quick note on NextReply before the templates: our automatic appointment reminders are built and coming soon, waiting on Meta's template approval. What works today is the part before the reminder: the assistant answers WhatsApp messages instantly, books into Google Calendar and sends a clear confirmation in the chat with the service, date and time. The templates below are ready for you to submit and send yourself now, and they follow the same rules our reminders will use.
Below are twelve templates for salons, clinics, gyms, spas, garages, home services and tutors, plus timing advice and the Meta rules your templates have to pass. The numbers in double braces, such as {{1}}, mark where WhatsApp inserts names, dates and times. Your booking system fills them in for each appointment.
Before you copy: four rules every WhatsApp template must follow
- Meta must approve it. Messages a business starts outside an open conversation must use a template that Meta has reviewed. Submit each one with a clear name, a language and a category.
- Choose the utility category for reminders. A reminder about an existing appointment is utility. Add a discount or a promotion and Meta may classify it as marketing, which costs more per message.
- Get opt-in. Customers must agree to receive messages from you. Asking "Would you like a WhatsApp reminder?" while they book is the simplest way.
- Use variables, not free text. Approved templates have fixed wording with variables. You cannot rewrite the sentence for each customer, so write it to work for everyone.
The WhatsApp Business Solution Terms and Meta's messaging policies apply to every template. Pricing per template is on Meta's pricing page.
WhatsApp reminder message examples by business type
1. The standard 24-hour reminder (any business)
Hi {{1}}, this is a reminder of your {{2}} at {{3}} tomorrow, {{4}}. Reply YES to confirm or tap Reschedule if you need another time.
Variables: name, service, business name, time. Buttons: "Confirm", "Reschedule". The safest all-rounder and the one to submit first.
2. Salon reminder with stylist name
Hi {{1}}, looking forward to seeing you tomorrow at {{2}} for your {{3}} with {{4}}. Running late or need to move it? Just reply here.
Naming the stylist makes the message personal and reminds the client who is keeping the chair free. More ideas on our salon page.
3. Same-day reminder (short)
Hi {{1}}, see you today at {{2}} at {{3}}. Reply if anything has changed.
For a second reminder two or three hours before. Keep it short: they already confirmed once.
4. Dental check-up, 48 hours ahead
Hello {{1}}, your appointment with {{2}} at {{3}} is on {{4}} at {{5}}. Please reply YES to confirm, or let us know if you need to change it so we can offer the time to another patient.
Longer notice suits longer appointments. The reason in the last line ("offer the time to another patient") is honest and nudges people to tell you. See the dental clinics page.
5. Medical clinic with preparation note
Hello {{1}}, reminder of your appointment with {{2}} on {{3}} at {{4}}. Please bring {{5}} and arrive 10 minutes early. Reply here to confirm or reschedule.
Use the last variable for practical items such as an ID or a previous report. Keep clinical detail out of the template.
6. Gym class reminder
Hi {{1}}, your spot in {{2}} is booked for {{3}} at {{4}}. Can't make it? Reply CANCEL so someone on the waitlist can join.
Class businesses benefit most from cancellations being easy, because a freed spot goes straight to the waitlist.
7. Personal training session
Hi {{1}}, {{2}} is ready for your session tomorrow at {{3}}. Reply YES to confirm or tell us a better time.
Naming the trainer increases the sense of commitment.
8. Spa treatment with arrival tip
Hello {{1}}, we look forward to welcoming you on {{2}} at {{3}} for your {{4}}. Arriving 15 minutes early gives you time to relax before your treatment. Reply here if you need to change anything.
Spas can afford a calmer, slightly longer tone. Keep it about the visit, not upsells, to stay in the utility category.
9. Garage drop-off reminder
Hi {{1}}, reminder that your {{2}} is booked in for {{3}} on {{4}} at {{5}}. Please bring the keys and any locking wheel nut. Reply to confirm or change.
Drivers need to plan transport for the day, so send this the day before, in the afternoon.
10. Home-service visit window
Hi {{1}}, our technician will visit {{2}} on {{3}} between {{4}}. Please make sure someone is home. Reply here to confirm or to change the slot.
Use a time window rather than an exact time if your teams travel between jobs.
11. Tutoring trial lesson (to a parent)
Hello {{1}}, {{2}}'s trial {{3}} lesson is on {{4}} at {{5}} with {{6}}. Reply YES to confirm, or tell us if another time suits your family better.
Address the parent, name the child and the tutor. Parents juggle schedules, so make rescheduling sound normal.
12. Rebooking nudge after a visit (marketing)
Hi {{1}}, it has been about {{2}} weeks since your last {{3}}. Would you like us to find you a time this week? Reply YES and we'll send a few options.
This one is a marketing template, not a reminder, because it invites a new booking. It costs more and needs marketing opt-in. Use it with care.
- Appointment booked: Saved to the calendar
- Reminder (coming soon): Waiting for Meta approval
- Customer confirms / Asks to reschedule
- Calendar stays current: Freed slots reopen
Buttons: Confirm, Reschedule, Cancel
WhatsApp templates can include quick-reply buttons. For reminders, two or three buttons work best:
- Confirm: the customer taps once and you know the slot is safe.
- Reschedule: opens the conversation so the customer can pick a new time.
- Cancel: optional. Some businesses prefer "Reschedule" only, so customers move rather than drop the appointment.
Buttons only help if something happens next. Today, when a customer writes to NextReply to move a booking, the AI checks Google Calendar, offers free times and releases the old slot. When NextReply's reminders launch (coming soon), a tap on "Reschedule" will follow the same path. The full flow is described on our no-show reduction page and the appointment booking page.
When to send each reminder
| Business | First reminder | Optional second |
|---|---|---|
| Salons, barbers, nails | 24 hours before | 2 to 3 hours before |
| Dental practices | 48 hours before | Morning of the visit |
| Medical clinics | 24 to 48 hours before | 2 hours before |
| Gyms and classes | Evening before | None |
| Spas | 24 hours before | None |
| Garages | Afternoon of the day before | None |
| Home services | Day before | When the technician sets off |
| Tutoring | Day before | None |
Avoid sending at night. A reminder at 7am or 11pm reads as an interruption, not a service. Mid-morning or early evening is usually safest.
Common mistakes that get templates rejected or ignored
- Vague wording. "Reminder about your appointment" with no service, date or time gives Meta's reviewers and your customers too little to go on.
- Promotions hidden in reminders. "See you tomorrow! PS 10% off products" will likely be reclassified as marketing.
- Too many variables in a row. Templates made almost entirely of variables can be rejected. Keep real words around them.
- No way to reply. If the customer cannot easily answer, the reminder protects nothing.
- Wrong language. Submit separate templates for each language your customers use, and send the one that matches the customer.
Reminders in your customers' languages
Meta approves templates per language, so a business with Arabic, English and Hindi-speaking customers needs a version of each reminder in each language. Write them natively rather than through a translation tool: tone matters, especially for clinics. When the customer replies, NextReply answers in their own language automatically, whatever language the template was in.
Why reminders stay on WhatsApp
If a customer booked through Instagram DMs or Messenger, you may wonder whether to remind them there. Meta's rules for those channels only allow replies within 24 hours of the customer's last message, and do not allow scheduled promotional or reminder messages outside that window. Telegram bots cannot message someone who has not started the bot. WhatsApp templates are built for exactly this job, so collect the customer's WhatsApp number and reminder consent during the booking. Our channels overview explains each channel's limits.
Put the templates to work
Templates are only half of it. The other half is what happens when the customer answers at 10pm with "can we do Thursday instead?". That is the job of an after-hours AI receptionist. See how NextReply works, compare plans on the pricing page, browse the features, or start from the home page.
