How salons turn 'how much?' DMs into booked chairs

Most beauty clients ask on Instagram before they ever call. Seven DM replies that move a follower from "how much?" to a booked chair, plus when to move the conversation to WhatsApp.

Why Instagram DMs decide your salon's week

A client sees a balayage reel on Sunday night, taps Message and types "how much?". That DM is a booking waiting to happen, and also the easiest booking to lose. Salons that reply in minutes with a price and two slots fill chairs. Salons that reply the next afternoon, or with "DM sent, check your inbox", lose most of those clients to the salon down the road.

Instagram DM booking for salons is not about clever automation. It is about answering the question asked, then offering the next step. Below are seven replies, each with the reasoning behind it, that work for hair salons, nail studios, lash and brow bars and beauty clinics. You can use them by hand today. Later in the post we explain how NextReply's Instagram AI agent, which is coming soon, will use the same approach, and how the WhatsApp assistant already books with it at any hour.

Reply 1: answer "how much?" with a real price

"Hi Sara! Balayage starts at AED 650 for shoulder-length hair and goes up to AED 950 for long, thick hair. It takes about 3 hours including toner. What length is your hair now?"

Why it works: a range with the factor that changes it feels honest, and the question keeps the conversation going. "Price on consultation" or "check our menu in bio" ends it.

Reply 2: offer two slots, not "when are you free?"

"This Saturday we have 11am with Maya or 2:30pm with Lina. Which suits you better?"

Why it works: two concrete options are easy to choose between. An open question ("when are you free?") creates a back-and-forth that often stalls.

Reply 3: handle the reference photo

"Love this look! Getting there from dark brown usually takes one session plus a toner, sometimes two if your hair has old colour. Lina can check in a free 15-minute consultation before the appointment, or on the day. Shall I book the consultation for Friday at 6pm?"

Why it works: it validates the photo, sets realistic expectations and turns uncertainty into a booked consultation instead of a long chat.

Reply 4: confirm with every detail

"Booked! Saturday 18 October, 2:30pm, balayage with Lina, from AED 650. We're at the second floor, Marina Walk, next to the pharmacy. Please arrive with dry, unwashed hair."

Why it works: weekday, date, time, service, stylist, price and practical prep in one message. Clients screenshot this, which means fewer "what time was it again?" messages.

Reply 5: move the booking chat to WhatsApp

"Would you like a reminder on WhatsApp the day before? Just share your number and we'll send it there, with an easy option to reschedule."

Why it works: Instagram only lets businesses message a client within 24 hours of their last message, so a reminder three days later cannot rely on DMs. WhatsApp allows opt-in template messages days later, so it is the better place for reminders and any change of plan. NextReply's automatic appointment reminders are coming soon; today it confirms every booking clearly in the WhatsApp chat, which already prevents many mix-ups. Our guide to reducing no-shows explains what works now and the reminder timing to plan for.

Reply 6: rescue the "I'll think about it"

"No problem! Saturday tends to fill by Thursday. If you'd like, I can hold the 2:30pm slot until tomorrow evening, and you just reply 'yes' to keep it."

Why it works: it respects the hesitation, adds honest urgency and keeps the client inside the 24-hour window because they need to reply. Only offer holds if your salon actually honours them.

Reply 7: hand off what needs a person

"I'm sorry your last colour didn't turn out as you hoped. I've passed this to our salon manager, Rania, who will message you here today."

Why it works: complaints, colour corrections, bridal parties and influencer requests deserve a person. A clear handoff protects the relationship and your reviews.

Letting an AI send these replies for you

The seven replies above share a pattern: real prices, real slots, a clear confirmation and a handoff when needed. That pattern is exactly what NextReply automates on WhatsApp today. You add your service menu with prices and durations, your stylists' calendars and your policies once. The AI then answers each WhatsApp message in the client's own language, offers real free slots from Google Calendar, books the appointment and confirms it. It understands voice notes and photos on WhatsApp, so a reference picture can lead to a consultation booking. When a rule says a person is needed, it notifies your team.

Instagram DMs are coming soon. Until the Instagram agent launches, the practical set-up is to reply to DMs by hand with replies 1 and 2, then move the client to WhatsApp with reply 5, where the assistant takes over and books. Put your WhatsApp link in your Instagram bio and story highlights too, so many clients skip the DM step completely. If you want to hear the day Instagram goes live, email hello@nextreply.io.

The result is that a WhatsApp message sent at 11:40pm on a Sunday gets the same quality of reply as one sent at noon on a Tuesday. Most salons see the biggest gain in those late-night and weekend conversations. See how the full salon setup works on our salons page.

From first message to confirmed booking
  1. Customer message: “Any slot tomorrow afternoon?”
  2. AI receptionist: Reads service, date and time
  3. Checks your calendar: Offers only free slots
  4. Confirms in the chat: Name, service and time
  5. Booked: In Google Calendar, owner alerted

Pricing the hard services in a DM

Some salon services resist a simple price: colour corrections, hair extensions, bridal packages, keratin on very long hair. These are also the services followers ask about most after seeing a dramatic reel. Three approaches keep the conversation moving without promising a number you cannot honour:

  • Give a starting price and the main variable. "Extensions start at AED 1,200 for 100 grams; most clients need 100 to 150 grams."
  • Book a consultation instead of guessing. A free 15-minute consultation slot in the stylist's calendar turns uncertainty into a visit.
  • Route big events to a person. Bridal parties, photo shoots and group bookings above a set size go to the salon manager, who quotes properly.

Whether a person or an AI answers your DMs, the quality of replies depends on the service menu behind them. A good DM-friendly menu lists each service with its price or price range, duration, which stylists perform it, what changes the price and any preparation the client needs ("arrive with dry hair", "no retinol for 3 days before"). Add the words clients actually use: "balayage", "babylights", "money piece", "gel-x", "BIAB". The more your menu sounds like your clients, the fewer clarifying questions each conversation needs.

Peak DM times for most salons are Sunday evenings, weekday lunch breaks and late at night after clients scroll. Those are exactly the hours when nobody is free to reply, which is why an AI front desk makes the biggest difference for salons.

Common DM mistakes salons make

  • "DM for price" on every post, then a reply hours later. If you invite DMs, answer them fast.
  • Sending a PDF menu instead of the one price asked for.
  • Different answers from different staff. Three people replying from one account means three prices. A single knowledge base fixes this.
  • No confirmation message. "OK see you Saturday" leads to no-shows and arguments about the time.
  • Trying to remind clients by DM. After 24 hours, Instagram limits what businesses can send. Move the client to WhatsApp before the appointment.

Instagram, WhatsApp and the rest

For salons, the winning pattern is simple: Instagram brings new clients in, WhatsApp keeps them booked. Regulars often skip Instagram entirely and message on WhatsApp. NextReply works on WhatsApp today; Instagram, Facebook Messenger and Telegram are coming soon and will share one calendar and one set of rules. See the channels overview.

Cost and getting started

Plans are priced in US dollars, the same in every country: Starter $29, Pro $59 and Business $99 a month, with a 7-day free trial on every plan. At checkout, your card or bank may show an estimate in your local currency, and local taxes may apply. Plans cover up to 500, 1,500 or unlimited bookings. Most single-location salons start on Starter or Pro. See the pricing page and every capability on the features page. Setup takes an afternoon; how it works walks through it, and appointment booking explains stylist calendars, durations and buffers. If most of your DMs arrive after closing, start with after-hours replies and widen from there. The product overview is on the home page.

Questions people ask

Can clients book salon appointments through Instagram DMs?

Not with NextReply yet. The Instagram agent is coming soon. Today the AI books on WhatsApp: it offers free slots from your stylists' calendars and confirms in the chat, so the best route is to move DM clients to WhatsApp.

Why move clients from Instagram to WhatsApp?

Instagram only allows business messages within 24 hours of the client's last message. WhatsApp allows opt-in templates days later, and it is where NextReply books today. Automatic reminders from NextReply are coming soon.

Can the AI understand reference photos clients send?

On WhatsApp, yes. NextReply understands photos as part of the conversation and can use them to suggest a consultation. Final colour decisions stay with your stylist.

What should never be automated?

Complaints, colour corrections, bridal parties, influencer requests and refunds. Set these as handoff rules so a manager replies.

How fast should a salon reply to an Instagram DM?

Within minutes if you can. Clients often message several salons at once, and the first clear reply with a price and two slots usually wins the booking. Move them to WhatsApp, where an AI front desk can answer at night and on weekends.

Can the AI book different stylists with different prices?

Yes. List each service with the stylists who perform it and any price difference by level, such as senior or director stylist. The AI offers slots from each stylist's calendar and quotes the matching price.

Will the AI reply in Arabic or other languages?

Yes. NextReply replies in each client's own language automatically, using the menu and prices you entered once.

Is there a free trial?

Yes. Every plan has a 7-day free trial. Connect WhatsApp, add your menu and stylists, and send your DM clients there for a week to see how many book.
