WhatsApp Business app vs API: the short answer
If you are a small business deciding between the WhatsApp Business app and the WhatsApp Business API, here is the short answer. The app is free, lives on your phone and is perfect while one or two people can keep up with messages by hand. The API, which Meta calls the WhatsApp Business Platform, is what you need once you want software to do some of the work for you: automated replies, AI bookings, several staff on one number, reminders sent from a system, or bookings flowing into a calendar or CRM.
And since 2025 there is a third answer that removes most of the pain of choosing: Coexistence, which lets you keep the app on your phone while connecting the same number to the API. This guide explains each option in plain English, with the real costs, the limits nobody mentions, and a simple way to decide.
The WhatsApp Business app: what you get for free
The WhatsApp Business app is a separate app from regular WhatsApp, made for small businesses. You install it on a phone, register your business number and fill in a profile.
- Business profile: address, hours, website, description and category.
- Catalogue: products or services with photos and prices.
- Quick replies and labels: saved answers you insert with a shortcut, and coloured labels to sort chats.
- Greeting and away messages: simple automatic messages for first contact and outside hours.
- Linked devices: use the same account on a few extra devices, such as a laptop at the front desk.
- Meta's built-in AI: in many markets Meta now offers its own business AI inside the app, which can answer common questions from your profile and catalogue.
There is no subscription and no per-message charge for normal chatting in the app. For a business handling a few dozen chats a day, it is often all you need.
Where the app starts to struggle
The app was designed for a person holding a phone. Problems appear when the business grows or when you want things to happen without that person:
- Everything is manual. Quick replies save typing, but someone still has to read every message, check the diary and type the booking.
- Away messages do not answer questions. "We're closed" is not a booking. Read why in our guide to after-hours replies.
- Limited automation and integrations. There is no official way to connect your own software to the app for sending bookings to Google Calendar or a CRM.
- Team handling is basic. Linked devices help, but there is little control over who answers what.
- Bulk messaging is restricted. Broadcast lists only reach people who have saved your number, and there are no reporting tools.
The WhatsApp Business API (Business Platform): what changes
The API is not an app you download. It is Meta's platform for connecting a business number to software: a booking assistant, a team inbox, a CRM. Most businesses use it through a provider rather than building directly on Meta's Cloud API.
- Automation and AI. Software can read and answer messages, so an AI receptionist can reply, book and hand off 24/7.
- Integrations. Bookings can go into Google Calendar; leads can go into a CRM.
- Template messages. Businesses can start conversations, such as appointment reminders, using templates approved by Meta, with customer opt-in.
- Scale. Many agents, many conversations, proper reporting.
- Verification options. Businesses can apply for verification badges through Meta's programmes.
The trade-off is cost and setup. You pay the software provider, and Meta charges per delivered template message. Our features page shows what a booking-focused API tool does in practice.
- New booking: Name, service, date and time
- Webhook: Business plan
- Zapier / Make / HubSpot / Google Sheets
WhatsApp Business API vs app difference in cost
| WhatsApp Business app | WhatsApp Business API | |
|---|---|---|
| Software cost | Free | Provider subscription (for NextReply, $29 to $99 a month, with a 7-day free trial) |
| Meta message charges | None for normal chatting | Per delivered template message (marketing, utility, authentication), by country |
| Replies to customers | Free | Free inside the 24-hour customer-service window that a customer's message opens |
| Staff time | High: everything by hand | Lower: software handles routine chats |
For an appointment business, the honest comparison is not "free vs paid". It is the cost of software plus Meta's fees against the bookings lost when nobody answers at 10pm, plus the staff hours spent typing the same answers. Meta's own pricing page lists current rates. Our pricing page shows NextReply's plans.
The third option: Coexistence lets you use both
For years, moving a number to the API meant giving up the app on that number. Many small businesses refused, and with good reason: their chat history, their habits and their phone all lived in the app.
Coexistence changes that. With Meta's Coexistence onboarding, a business that already uses the WhatsApp Business app can connect the same number to an API provider and keep using the app. Messages sent from the app and from the software both appear in the same conversations. You can reply from your phone whenever you want, while the software answers and books. (NextReply's automatic reminders are coming soon.) Meta documents this as onboarding WhatsApp Business app users.
A few things to know:
- Some app features are limited while Coexistence is active, so check Meta's documentation for the current list.
- Template messages and other API traffic still follow Meta's pricing.
- Do not let two automated systems answer the same chat. If an AI tool handles replies, turn off automatic replies in the app.
NextReply supports Coexistence. Our Coexistence page walks through the setup.
- WhatsApp Business app: Keep chatting from your phone
- Same number: Nothing to delete
- NextReply AI: Answers through the platform
How to decide: four questions
- Do messages go unanswered for hours? If yes, you need automation, which means the API.
- Do you need bookings in a calendar or CRM automatically? API.
- Are you a one-person business with a manageable volume? The app may be enough for now.
- Are you worried about losing the app? Use Coexistence and keep it.
A practical path many businesses follow: start on the app, switch on Meta's free AI if it is available in your market, and move to an API tool with Coexistence once evenings and weekends start costing you bookings.
Three businesses, three answers
A solo mobile hairdresser
Fifteen to twenty chats a week, mostly regulars. She answers between appointments and rarely misses one. The app is enough. Quick replies for prices and a clear away message cover the gaps.
A four-chair barbershop
Eighty chats a week, half of them after 7pm, many asking "any space tomorrow?". The owner answers at night from the sofa and still loses some to the shop down the road. An API tool with Coexistence lets an AI answer and book in the evening, while the owner keeps the app for regulars he likes to chat with himself.
A dental practice with three dentists
Two hundred chats a week, separate diaries, reminders before each visit, and a practice manager who wants bookings recorded properly. The API is the clear answer, ideally with Coexistence so the front desk can still use the app for quick personal replies. Reminders go out as approved templates, and bookings land in each dentist's calendar.
The pattern is simple: volume, after-hours demand and the need for records push you towards the API. Coexistence means you do not have to give anything up when you get there.
A note on AI and WhatsApp's 2026 rules
WhatsApp's Business Solution Terms now bar general-purpose AI chatbots on the API. AI that helps a business serve its own customers, such as booking, answering questions about the business and handing off to staff, remains allowed. If you add AI through the API, choose a tool built for that job. NextReply is a business booking and customer-service assistant with human handoff, which is exactly what the rules allow.
What about Instagram, Messenger and Telegram?
The app-vs-API question is WhatsApp-specific. If customers also message you on Instagram, Facebook Messenger or Telegram, those channels connect separately, each with its own rules. Coexistence applies only to WhatsApp. NextReply works on WhatsApp today, and Instagram, Messenger and Telegram are coming soon; our channels overview explains each one.
Next steps
If you have decided the API is right, the next thing to understand is Meta's per-message pricing, then how an AI turns a chat into a booking. See the appointment booking page and how it works, or browse industry examples. More guides are on the blog, and the home page has the overview.
