Why most away messages lose bookings
Open your WhatsApp Business app, go to Business tools, then Away message, and you can schedule an auto reply for outside business hours or a custom period. Almost every business turns it on. Most then write something like "We are closed. We will reply during working hours." It is polite, accurate and expensive, because the customer reads it, opens another salon's chat and books there.
Good WhatsApp away message examples do three things: they say when a person will reply, they give the customer something useful right now, and they keep the door open. Below are fifteen you can copy, grouped by situation. After that we explain where away messages stop working and what to use instead.
After-hours and evening away messages
1. Short and warm
"Hi! Thanks for messaging Bloom Studio. We're closed right now and back at 10am. Leave your name, the service you want and a preferred day, and we'll confirm first thing."
2. With a self-serve link
"Thanks for your message! Our team is offline until 9am. You can see prices and opening times on our website, and we'll reply to anything else in the morning."
3. Clinic version
"Thank you for contacting the clinic. We're closed now and reopen at 8:30am. If this is a medical emergency, please call your local emergency number. For appointments, send your name and preferred date and we'll call you back."
4. Restaurant version
"Hi! The kitchen is closed for the night. For tomorrow's tables, send the date, time and number of guests and we'll confirm by noon."
Notice the pattern: each one asks for the details a person would need, so the morning reply can be a confirmation instead of a fresh conversation.
Weekend and day-off messages
5. Weekend closure
"We're closed on Sundays and back on Monday at 9am. Leave a message with what you need and we'll answer you first."
6. Gulf working week
"Our office is closed on Friday and Saturday. Messages sent now will be answered on Sunday morning, in Arabic or English."
7. Day off for a solo business
"Hi, it's Sara! I'm off today and back tomorrow at 10. If you'd like a session this week, tell me which day suits you and I'll hold a slot."
WhatsApp out of office message examples for holidays
A WhatsApp out of office message covers longer breaks. Put the return date in the first line, because many customers read only that.
8. Public holiday
"We're closed for the public holiday and reopen on Thursday at 9am. Thanks for your patience!"
9. Annual leave
"Our studio is closed from 2 to 9 August for the summer break. Bookings for after the 10th are open: send your preferred date and we'll confirm when we're back."
10. Ramadan hours
"Ramadan Kareem! During Ramadan we're open 10am–4pm and 9pm–1am. Message us anytime and we'll reply during these hours." (We have a full set of bilingual Ramadan templates on the blog.)
11. End-of-year break
"We're taking a short break and back on 2 January. Happy holidays, and thank you for a great year!"
WhatsApp Business auto reply examples for busy times
Away messages also help during working hours, when the team is with customers. The WhatsApp Business app's greeting message and quick replies cover part of this. Here are WhatsApp Business auto reply examples for busy moments:
12. Fully booked day
"Thanks for your message! We're with clients right now and will reply within the hour. To speed things up, send the service and the day you have in mind."
13. Peak season
"It's our busiest week of the year, so replies may take a little longer. Wedding and party bookings: send the date, number of people and services needed."
14. Delivery or field team
"Our technicians are out on jobs. Send a photo of the problem and your area, and we'll reply with a visit time today."
15. Promise with a deadline
"Got it! A team member will reply by 6pm today. If it's urgent, write URGENT and we'll prioritise you."
Where away messages stop working
Every example above shares one flaw: it delays the booking. The customer still has to wait for a human, and the human starts the morning with a pile of half-finished chats. A few numbers make the gap clear. If you get ten after-hours requests a night and only half of those people wait, you lose five potential bookings before breakfast. Our post on what missed WhatsApp messages cost walks through that maths.
Away messages also cannot answer questions. "How much is a gel manicure?" and "Is there parking?" get the same "we're closed" reply as "Can I book Friday at 6?"
The smarter fix: an AI that answers and books after hours
Instead of telling customers when you will reply, reply. An AI receptionist on WhatsApp answers questions from your knowledge base, checks your Google Calendar for open slots and books the appointment there and then. The owner gets a notification, and staff see the confirmed booking in the morning instead of a to-do list.
It still respects your working hours. You decide whether the assistant books at night, takes requests only, or hands certain topics to a person the next day. And with WhatsApp Coexistence you keep using the WhatsApp Business app on the same number, so your away message, quick replies and labels can stay where they are. See the full after-hours replies use case, the booking feature and how it works.
| Away message | AI receptionist | |
|---|---|---|
| Answers prices and FAQs | No | Yes, from your knowledge base |
| Books the appointment | No | Yes, into Google Calendar |
| Understands voice notes and photos | No | Yes, on WhatsApp |
| Replies in the customer's language | Only the language you wrote | Yes, automatically |
| Hands off to staff | Not applicable | Yes, with context |

Writing tips for any auto reply
- Lead with the time a person will reply.
- Ask for the details you need to book: name, service, date, time.
- Keep it under 300 characters so it fits on one phone screen.
- Match your brand voice: a barber can be casual, a law firm should not be.
- Add an emergency line for clinics and home-repair businesses.
- Review it each season. Old Eid hours in July look careless.
Away message ideas by industry
The right tone and the right details differ by trade. A few pointers for the most common WhatsApp-heavy businesses:
- Salons and barbers: ask for the service and the stylist. "Haircut with Ali" is easier to confirm than "a haircut".
- Clinics and dentists: always include an emergency line and avoid asking for symptoms in an auto reply.
- Gyms and studios: point to the class timetable and ask whether the person is a member or new.
- Real estate: ask for the listing reference, budget and preferred viewing time, because portal leads go cold quickly.
- Home services: ask for a photo and the area, so the morning team can quote straight away.
- Restaurants: ask for date, time and party size, and mention whether you take walk-ins.
Whatever the business, test your away message by sending a message to your own number from a friend's phone. Read it as a customer would, at 11pm, and ask whether you would wait or go elsewhere.
