Why every tuition centre needs a set of WhatsApp replies
Parents in Subang Jaya, Cheras, Puchong or Bangsar research tuition the same way: they save a few numbers from a flyer or a Facebook post and send the same question to all of them at 9:30pm. "Hi, do you have Form 4 Add Maths? How much per month?" The centre that answers clearly, first, usually gets the trial class. Good tuition centre WhatsApp templates make that answer fast and consistent, whoever is on the phone.
Below are ready-to-adapt replies for the questions Malaysian parents ask most, written in plain English with a Bahasa Melayu or Chinese line where it helps. Swap in your own subjects, fees and times. Further down, we show how NextReply's AI uses the same information to answer automatically and book trial classes into your calendar, so your teachers can keep teaching. For the product view, see NextReply for tuition centres in Malaysia.
Template 1: the first reply
"Hi! Thanks for contacting [Centre name], Subang Jaya. We teach Standard 4 to Form 5, in English and BM, small groups of up to 12. Which standard or form is your child in, and which subjects are you looking for? / Boleh saya tahu anak tahun atau tingkatan berapa?"
Why it works: it confirms location and class sizes, then asks the two questions you need before you can quote anything. Avoid opening with a full price list. Parents skim it and leave.
Templates 2 and 3: fees and what is included
"Form 4 Add Maths is RM [fee] per month for 4 classes of 2 hours. There is a one-time registration fee of RM [fee] and a material fee of RM [fee] per year. Sibling discount: 10% for the second child. Payment by DuitNow QR or online transfer before the first class of the month."
"Our SPM package (Maths, Add Maths, Physics, Chemistry) is RM [fee] per month. It includes weekly topical tests, two trial-exam papers before SPM and parent progress updates every month."
Tips: always say how many classes the monthly fee covers, because parents compare per-class value. Name your payment methods up front. If you charge for replacement classes, say so now, not after a missed lesson.
Template 4: timetable
"Form 5 timetable at our SS15 branch:
Mon 8pm to 10pm: Add Maths
Wed 8pm to 10pm: Physics
Sat 9am to 11am: Chemistry
Sat 11:30am to 1:30pm: Modern Maths
Online classes run at the same times on Google Meet. Would you like to book a free trial for one of these?"
End every timetable reply with the trial question. That single line is the difference between an answered enquiry and a booked visit.
Templates 5 and 6: SPM, IGCSE and UASA syllabus questions
"Yes, our Form 4 and Form 5 classes follow the KSSM syllabus for SPM, with SPM-format past-year questions every week. Classes are in English with BM terms, so they suit both DLP and non-DLP students."
"For IGCSE we teach Cambridge Mathematics (0580), Additional Mathematics (0606), Physics and Chemistry, Core and Extended. Most of our IGCSE students come from international and private schools around Mont Kiara and Damansara."
Primary parents often ask about UASA, the school-based assessment that replaced UPSR and PT3. A short reply such as "Our Standard 4 to 6 classes follow the KSSR syllabus and include UASA-style practice" answers the real question: will this match what my child does in school?
Template 7: booking the trial class
"Great! Free trial for Form 4 Add Maths: Monday 8pm or Saturday 11:30am this week. Which works better? Please share your child's name and school so the teacher can prepare. / 请问孩子的名字和学校?"
"Booked: Aiman (SMK USJ 12), Form 4 Add Maths trial, Monday 20 October, 8pm, SS15 branch. Please bring a calculator and the latest school test paper if you have one. If anything changes, just reply here."
Name the weekday and date in the confirmation, and ask for the school. Teachers use it to prepare, and parents read it as a sign that you take their child seriously.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
Templates 8 to 10: replacement classes, holidays and location
"Missed a class? Replacement classes are free within the same month, subject to seats. Tell me which class was missed and I'll offer the available slots."
"We are closed for the public holiday on [date]. That week's Monday class moves to Thursday 8pm. Let me know if your child can't make it and I'll arrange a replacement."
"We're on the first floor above the bakery on Jalan SS15/4, Subang Jaya, 5 minutes' walk from the SS15 LRT station. Street parking is easier after 7pm. Here's the map pin."
Five mistakes that cost tuition centres the trial
- Replying the next afternoon. Parents message several centres at once. The first clear answer usually wins the trial.
- Sending a brochure PDF instead of an answer. A parent asking about Form 4 Add Maths wants one price and one timetable, not twelve pages.
- Hiding the fee. "PM for price" feels evasive. State the monthly fee and what it covers.
- No next step. Every reply should end with an offer: a trial slot, a call-back time or a visit.
- Different answers from different staff. When the owner, a teacher and the admin all reply from the same phone, fees and times drift. One knowledge base fixes that.
Letting an AI send these replies and book the trial
Templates help, but somebody still has to read each message, pick the right one and fill in the blanks, usually a teacher between classes or the owner at midnight. NextReply turns the same content into an AI receptionist on WhatsApp. You add your subjects, fees, timetables, syllabus notes and centre details once. The AI then answers each parent in natural language, adapts to the exact question and books trials into Google Calendar.
- English, BM and Chinese. NextReply replies in the parent's own language automatically, a real need in Malaysia where one centre may get all three in an evening.
- Voice notes and photos. Parents send voice notes or a photo of a report card on WhatsApp. The AI understands both as part of the chat.
- Trial capacity. Each trial slot sits in your calendar, so the AI stops offering a class once it is full.
- Handoff. Fee discounts, complaints and questions about a specific teacher go to staff with an instant notification.
Every trial booking is confirmed in the chat straight away. Automatic trial and fee reminders are coming soon, and will go only to parents who opt in. See every capability on the features page and how trial booking works on appointment booking.
- مرحبا، عندكم موعد؟ / Olá, tem horário? / Hola, ¿hay cita? / Hi, any slots?
- Detects the language: From a WhatsApp text or voice note
- Replies in that language: You set it up once
Children's data and the PDPA
Tuition centres hold personal data about children: names, schools, results. Malaysia's Personal Data Protection Act 2010, strengthened by amendments that took effect in 2025, applies to commercial use of that data. Keep it simple: collect only what you need to place the student, tell parents how you use their details, get opt-in before sending promotions, and keep chat access to the staff who need it. This is general guidance, not legal advice.
Cost and how to start
NextReply plans are priced in US dollars, the same in every country: Starter $29, Pro $59 and Business $99 a month, and each plan has a 7-day free trial. At checkout, your card or bank may show an estimate in ringgit, and local taxes may apply. Plans cover up to 500, 1,500 or unlimited bookings. See the pricing page. Meta charges separately for any template messages you send.
Setup takes an afternoon: connect your current WhatsApp number with Coexistence so staff keep the app, paste in your templates and fee sheet, connect the trial calendar and test with last term's real messages. The how it works page walks through it. Many centres start with evenings and weekends only; see after-hours replies.
Parents and older students also DM centres on Instagram, Facebook Messenger and Telegram, which is popular with Malaysian students for class groups. Those channels are coming soon to NextReply and will use the same information. Today WhatsApp is the live channel for answers and bookings, so put your WhatsApp link in your Telegram groups and Instagram bio. See the channels page, the NextReply Malaysia page, or other industries we cover.
