How Doha books a table: on WhatsApp
In Doha, the reservation line is a WhatsApp number. Guests copy it from Instagram, Google Maps or a friend's message and write: "Table for 6 tomorrow 9pm, family section please." Restaurants on The Pearl's Porto Arabia, along Lusail Marina, inside Place Vendome or around Msheireb get these messages all day, and in waves on Wednesday and Thursday evenings ahead of the Friday and Saturday weekend. Restaurant reservations on WhatsApp in Qatar are already normal. What varies is how fast and how accurately they are answered.
Most restaurants rely on a host or manager to reply between seating guests. During service that means slow replies, missed messages and double-bookings when two staff answer the same chat. This post shows how Doha restaurants can confirm reservations in the chat itself, with a WhatsApp AI that knows the menu, the rules and the free tables. For the general product view, see NextReply for restaurants and cafés.
What Doha guests ask for
- Party size and time. Often large: families of eight, friend groups of twelve, corporate dinners.
- Seating. Family section, terrace, indoor, a table with a view of the marina or the West Bay skyline.
- Outdoor season. From roughly October to April guests want terraces; in summer they want to know the terrace is air-cooled or closed.
- Set menus and occasions. Birthday cakes, anniversary setups, iftar and suhoor menus in Ramadan, National Day on 18 December.
- Private rooms. Minimum spend, capacity, AV for a presentation.
- Practical details. Valet parking, kids' menu, high chairs, shisha availability, dress code.
- Dietary questions. Vegetarian, gluten-free, nut allergies.
Guests write in Arabic, English and often other languages, reflecting Qatar's mix of nationalities. A reply in the guest's own language, within a minute, is what makes the booking stick.
A reservation confirmed in the chat
The guest wrote in Arabic, so the AI answered in Arabic with a Gulf greeting. It offered two real options, confirmed with the weekday and date, and stated the hold time. The reservation now sits in the restaurant's Google Calendar, visible to the floor manager.
A practical note: NextReply books reservations into Google Calendar time slots. It is not a full table-management system. Restaurants model capacity per time slot and section, for example "Thursday 9pm, family section, 5 tables", and the AI stops offering a slot when it is full. Restaurants that already run dedicated reservation software can use NextReply's Business plan to send each booking onward by webhook.
- Customer message: “Any slot tomorrow afternoon?”
- AI receptionist: Reads service, date and time
- Checks your calendar: Offers only free slots
- Confirms in the chat: Name, service and time
- Booked: In Google Calendar, owner alerted
Set the rules once: deposits, large groups and allergies
Restaurants lose money on the edge cases, not the ordinary bookings. Write clear rules and the AI follows them every time:
- Large groups. Above a set size, say 10 guests, the AI collects the details and hands the chat to the manager, who confirms the set menu and any deposit.
- Deposits. If you take deposits for large tables or event nights, the AI shares your payment instructions. NextReply does not process payments; staff confirm receipt.
- Allergies. The AI can share what the menu lists, but it should never promise a dish is allergen-free. Serious allergy questions go to the manager or chef.
- Hold time and late arrivals. State it in every confirmation.
- Cancellations. Guests can ask to cancel or move a booking in the same chat, and the assistant passes the request to your team with the booking details, so the table can be freed quickly.
- Complaints. Always to a person, with an instant notification.
- Unusual request: Complaint, refund or special case
- AI receptionist: Knows when to step back
- Answers from your FAQs: Services, hours and prices / Hands the chat over: Your team is notified
- Your team replies: Same chat, full history
What to put in the knowledge base before service
The AI answers well when it knows what your best host knows. Before going live, write short entries for:
- Opening hours by day, including the Friday lunch timing, late closing on Thursday and Saturday, and Ramadan hours.
- Seating areas with capacity: family section, terrace, bar or lounge, private dining room.
- Menus: à la carte highlights, set menus with prices in QAR, kids' menu, brunch package and what drinks are included.
- Occasions: cake policy and corkage-style fees if any, decoration requests, how far ahead to book a birthday setup.
- Getting there: the exact building or tower, valet or parking, nearest Doha Metro station if relevant, and a map pin.
- House rules: hold time, dress code, minimum spend for private rooms, cancellation terms for large groups.
Write these the way you would brief a new host on day one. The AI then answers "Is there parking?" or "Can we bring our own cake?" consistently, at 4pm or 2am, in Arabic or English.
Ramadan, iftar and the busiest nights of the year
Ramadan turns Doha's dining calendar upside down. Iftar bookings land in a narrow window around sunset, suhoor runs late into the night and corporate iftars book weeks ahead. WhatsApp volume can multiply in a few days.
Prepare the AI the way you prepare the kitchen: add iftar and suhoor menus with prices to the knowledge base, set Ramadan hours, open iftar seatings as calendar slots with capacity, and decide in advance which group sizes need a manager. During the month, the AI handles the routine requests at any hour, including at 1am when guests plan the next evening, and the team focuses on service.
The same approach works for National Day weekends, big football screenings and long weekends around Eid.
Confirmations now, reminders soon: cutting no-shows
A missed table for eight on a Thursday hurts. What works today is a clear confirmation the moment the guest books: NextReply replies in the chat with the date, time, party size, seating and your cancellation request ("Booked: table for 8, Thursday 9pm, family section. If plans change, just reply here so we can free the table"). Guests who change their mind tend to answer that same chat, which frees the table in time for walk-ins, and the booking sits in your calendar where the floor manager can see it.
Automatic appointment reminders are built and coming soon, once Meta approves the message templates. When they launch, they will need guest opt-in and will go out as WhatsApp template messages, which Meta charges per delivered message. Most restaurants will likely send one reminder for large or peak-night bookings rather than for every table. Until then, a manager can send a short personal message to big Thursday bookings from the WhatsApp Business app, which Coexistence keeps working on the same number.
Opt-in campaigns for inviting past guests back, for a new menu or a Ramadan tent, are coming soon too, as they also wait on Meta's template approval. Keep them occasional; guests in Doha are quick to mute businesses that message every week.
Guest data, cost and getting started
Qatar's Personal Data Privacy Protection Law, Law No. 13 of 2016, applies to the names and numbers you collect. Keep it light: collect only what the booking needs, use guest numbers only for the purposes guests agreed to and do not add people to marketing lists without consent. This is general guidance, not legal advice.
NextReply plans are priced in US dollars, the same in every country: Starter $29, Pro $59 and Business $99 a month, with a 7-day free trial on each plan. At checkout, your card or bank may show an estimate in riyals, and local taxes may apply. Plans cover up to 500, 1,500 or unlimited bookings. A single restaurant usually starts on Starter or Pro; groups that send bookings to a CRM or reservation system by webhook choose Business. See the pricing page and the NextReply Qatar page for local details.
Setup takes an afternoon: connect your existing WhatsApp number with Coexistence so the manager keeps the app, add menus, seating, hours and rules, connect Google Calendar and test with last week's real messages. See how it works, the full features list and booking details. Many Doha diners discover restaurants on Instagram first. Instagram DMs, Messenger and Telegram are coming soon to NextReply; today, put your WhatsApp link in your Instagram bio so those guests reach the chat that books. See the channels page, and our guide to after-hours replies for late-night planners. More sectors are on the industries page.
